As a Maintenance Scheduler at JLL, you will serve as the strategic orchestrator of facility maintenance operations, ensuring optimal building performance through planning and coordination. This role combines technical expertise with strong organizational skills to create and manage comprehensive maintenance schedules that keep our clients facilities running smoothly and efficiently. You will work with maintenance teams, vendors and facility managers to develop preventive maintenance programs, coordinate corrective repairs, and optimize resource allocation.
Your work will contribute to delivering exceptional facility management services that exceed client expectations and impact operational efficiency, cost management and the overall success of our facility management programs.

- Develop and maintain comprehensive preventive maintenance schedules for mechanical, electrical, plumbing, and building systems across assigned properties
- Coordinate with maintenance technicians, contractors, and vendors to schedule repairs, inspections, and routine maintenance activities
- Utilize computerized maintenance management systems (CMMS) to track work orders, generate reports, and monitor maintenance performance metrics
- Analyze equipment performance data and maintenance histories to optimize scheduling intervals and predict potential failures
- Collaborate with facility managers and clients to prioritize maintenance activities based on operational needs and budget constraints
- Manage emergency response scheduling and coordinate urgent repairs to minimize operational disruptions
- Track inventory levels of maintenance supplies and coordinate procurement activities with purchasing teams
- Prepare detailed maintenance reports and present performance analytics to clients and internal stakeholders
- Ensure all scheduled maintenance activities comply with regulatory requirements, manufacturer recommendations, and industry best practices
- Bachelor's degree in Engineering, Facilities Management, Business Administration, or related field, or equivalent combination of education and experience
- Minimum 3-5 years of experience in maintenance scheduling, facilities management, or related field
- Proficiency with computerized maintenance management systems (CMMS) such as Maximo, Service Now, or similar platforms
- Strong analytical skills with ability to interpret technical data, equipment specifications, and maintenance requirements
- Excellent organizational and time management skills with proven ability to manage multiple priorities in fast-paced environments
- Advanced proficiency in Microsoft Office Suite, particularly Excel for data analysis and reporting
- Knowledge of mechanical, electrical, plumbing, and HVAC systems and their maintenance requirements
- Strong communication skills with ability to interact effectively with technicians, vendors, and clients at all organizational levels
- Professional certification in facilities management (CFM, FMP, or similar) or maintenance planning and scheduling
- Experience with predictive maintenance technologies and condition monitoring systems
- Background in commercial real estate or corporate facilities management environments
- Knowledge of building automation systems (BAS) and energy management platforms
- Experience with lean maintenance practices and continuous improvement methodologies
- Familiarity with regulatory compliance requirements including OSHA, EPA, and local building codes
- Project management certification (PMP, CAPM) or demonstrated project coordination experience
