Key Tasks and Responsibilities:
Safety & Compliance- Prioritize vessel and crew safety.
- Assist in preparing maintenance records, technical reports, and repair schedules.
- Compile and review monthly Deck and Engine reports.
- Maintain records for audits, inspections, and vessel certifications (Class, Flag, PSC, FSC)
- Update and distribute circulars, schedules, and reports to the vessels.
- Maintain technical documentation and ensure vessel certifications are current.
- Provide monthly Technical and HSE statistics and on/off hire reports.
- Assist with Project Management related work and prepare timeline schedules, project tracker etc.
- Assist to analyse PMS and other monitoring system data, it’s compilation etc. with the Technical Manager.
- Ensure all vessel plans, manuals, documents, certifications (All Class and Flag certifications incl. intermediate, annual, docking etc.) are maintained and keep a repository and list maintained for each vessel.
- Support new vessel management takeover, including document preparation and technical manual updates.
- Track inspection reports, action items, and vessel performance data.
- Prepare and update relevant action trackers related to inspection reports, punch lists, charterers inspections in close liaison with Marine and Technical teams.
- Prepare and assist the company on Tender bids, document compilation and other processes as required for the vessels charter.
- Assist in preparing tenders, technical inspection reports, and project timelines.
- Organize travel arrangements for technical staff and process expense claims.
- Provide secretarial and logistical support to Vessel Managers and Technical Superintendents.
- Provide support to insurance claims related matters to hull, machinery and P&I.
Additional works and responsibilities as advised b y the MD.
Essential Skills & Experience- Suitable experience in a similar position in the marine industry with at least 3 to 5 years working as a Technical Assistant for vessel technical operations.
- Strong knowledge of shipboard systems and technical operations.
- Proficiency in handling technical documentation and data analysis.
- Effective communication and coordination skills.
- Ability to work independently and collaboratively in a team environment with an attention to detail and the ability to handle multiple tasks simultaneously.
- Proficiency in Microsoft Office Applications.
