Office Administrator/ Coordinator
The Executive Operations Coordinator will be integral to our office, ensuring efficient workflow and communication across all departments, recruiters, and external vendors. This vital role involves managing administrative tasks, coordinating team activities, and maintaining accurate records to support the firm's overall hiring objectives.
Data and Records Management: Maintain and update candidate records, job postings, and all recruitment documentation within the Client Relationship Manager (CRM) / Applicant Tracking System (ATS) and other databases to ensure accuracy and compliance.
Administrative Support: Provide comprehensive administrative assistance, including managing calendars, coordinating travel arrangements, and ordering office supplies.
Reporting and Analysis: Assist in the preparation of reports and presentations related to recruitment metrics
Event Coordination: Support the planning and execution of community events and internal company functions.
Experience: Proven experience (2+ years) in administrative support, customer service, or office management, preferably within a fast-paced office or recruitment environment.
Technical Proficiency:
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) is required.
- Familiarity with Applicant Tracking Systems (ATS) and Customer Relationship Management (CRM) software is a strong plus.
- Experience with virtual communication tools (Zoom, Microsoft Teams, etc.).

Availability:
- This is an in-office position, Monday-Friday, at our headquarters in The Woodlands, TX.
- Availability on weekends for urgent matters.
- Must be located within 30min driving distance of The Woodlands, TX.
- Opportunity for global travel but not required.
