Job DescriptionThe Preschool Administrative Assistant provides essential administrative support to enrolled families and preschool staff, ensuring the smooth and efficient operation of the school. This role involves managing daily office tasks, coordinating communication between teachers, parents, and the administration, and maintaining accurate records. The Assistant contributes to a positive, organized, and welcoming environment, fostering the overall success and well‑being of the children, families, and staff within the preschool community.
JobQualifications
- High School Diploma or equivalent required.
- Five years job‑related experience or graduate of a recognized school of secretarial skills required.
- Associate Degree or other post‑secondary education and/or training in a related field preferred.
- Bilingual in English/Spanish required.
- Criminal Justice Fingerprint Clearance
- Valid Driver’s License and evidence of insurability
- First Aid Card
- Successfully pass district background screening
Skills and Abilities
- Proficient in email, word processing, spreadsheet applications, and written composition.
- Demonstrates flexibility, adaptability, and initiative in acquiring new tasks and learning new skills.
- Strong written and verbal communication skills; ability to present information and respond to questions from staff, parents, and community members.
- Understanding of department policies and procedures.
- Ability to make independent decisions within agency policies in absence of a supervisor.
- Organized and accurate in completing work with thoroughness and dependability.
- Provides assistance and follow‑through to questions and inquiries; directs to appropriate ESD staff.
- Assists staff with agency system requirements (travel, reimbursements, payroll, etc.).
- Processes purchase orders and verifies receipt of purchases.
- Prepares payroll for department staff, tracks calendars and timesheets.
- Organizes workshops/events, produces related programs and training materials, and coordinates meeting rooms.
- Completes and submits referrals, reports, and plans as required by program area.
- Maintains databases, filing systems, and inventories.
- Performs other related duties as assigned.
- Comprehend, interpret, and explain laws, rules, regulations, policies, and procedures.
- Read and comprehend instructions, correspondence, and memos.
- Write reports and business correspondence.
- Apply basic algebra and geometry, perform accurate mathematical computations.
- Work effectively with diverse cultures or backgrounds.
- Demonstrate professionalism and appropriate judgment in behavior, speech, and dress.
- Maintain punctual attendance and confidentiality of information.
- Participate in training related to professional growth.
- Stand/Walk: 4–6 hrs;
Sit: 5–8 hrs;
Drive: 1–3 hrs. - Repetitive hand use: single grasping and pushing/pulling.
- Bend, squat, climb stairs, lift: frequently or occasionally as required.
- Lifting:
Light work (up to 25 lbs) occasionally with frequent sitting/walking;
Medium work (up to 50 lbs) occasionally;
Heavy work (up to 75–100 lbs) occasionally.
As a mandatory reporter (ORS.
419b.010), you are required to immediately report any suspected child abuse to law enforcement or the Department of Human Services.
