POSITION SUMMARY

The Volunteer Relations Coordinator is a non-exempt hourly part-time position responsible for coordinating, recruiting, and stewarding volunteers in support of Down Home Ranch’s mission. The Coordinator will support organizational operations by providing volunteer outreach, scheduling, communication, and on-site coordination across departments. This position aids in building and sustaining a strong volunteer program that supports all aspects of the organization.

This position is located within the Development Department and reports to the Director of Development.

The Coordinator will join with other staff in a high-level commitment to provide an excellent quality of life for the individuals with intellectual and developmental disabilities served through Ranch programming.

Typical work schedule is Monday through Friday, 8:30 a.m. to 1:30 p.m. Schedule and hours will be adjusted according to the needs of Down Home Ranch, with flexibility for occasional evenings and Saturdays when volunteers are present for events.

ESSENTIAL FUNCTIONS

Essential Functions Statement(s)

  • Implement the goals of the volunteer program in alignment with organizational priorities
    · Has a thorough understanding of volunteer engagement fundamentals and relationship building
    · Coordinates volunteer schedules, shifts, and placements for individual and group volunteers
    · Collaborates with department managers to identify and staff volunteer projects
    · Serves as the primary point of contact for volunteer communication and follow-up
  • Greets volunteers on-site, provides orientation as needed, and supports a positive volunteer experience
    · Captures photos and content to support stewardship, outreach, and internal communications
  • Maintains volunteer project boards and scheduling tools
    · Tracks volunteer participation and supports ongoing stewardship and recognition efforts
  • Attends virtual and in-person outreach, recruiting events, and presentations
    · Represents Down Home Ranch to potential volunteers with professionalism and enthusiasm
    · Assists with the planning and implementation of volunteer recruitment and engagement strategies
  • Collaborates with event organizers to coordinate volunteer support for special events
    · Comfortable supporting evening and weekend events as required
  • Maintains a high level of professionalism and decorum
    · Ability to independently manage multiple projects simultaneously and meet deadlines
    · Works closely with staff across departments to align volunteer efforts with organizational needs
    · Performs other duties and responsibilities, as assigned

REQUIREMENTS
  • Minimum age of 21; excellent driving record and able to pass background investigation, as applicable
  • High school diploma or equivalent required; additional education or relevant experience preferred
  • Excellent communication and interpersonal skills
  • Detail-oriented, works well under pressure, takes initiative to solve problems, and meets deadlines
  • High level of computer skills and comfortable using Word, Excel, email, and scheduling software
  • Team player with the ability to coordinate and work closely with others
  • Provides excellent customer service
  • Comfortable working closely with individuals with intellectual and developmental disabilities or other vulnerable populations
  • Reads and complies with all company policies and procedures, such as those outlined in the Down Home Ranch Employee Handbook
  • Maintains confidentiality under requirements of applicable statutes
  • Ability to work occasional evenings and weekends
