Location: Aledo

Responsible for providing timely and accurate financial transaction, administrative and clerical services to the company in an effective and efficient manner. This includes tracking and processing of job field tickets, preparing invoices to customers using varying methods and systems required by the customers, and processing customer credit memos when necessary.

Essential Responsibilities
  • Analyze and research billing disputes with customers and pricing discrepancies within SAP
  • Process billing and submission of invoices and credits for assigned districts as needed
  • Process credit memos per established procedures including obtaining appropriate approvals
  • Oversee and assist processors(s) with issues in other districts
  • Liaison with data clerk, field reps and sales as needed for resolution of issues
  • Contact customers for collection of overdue invoices
  • Run daily bank report for cash flow/analysis
  • Analyze cash position and communicate with executive team in order to pay down debt
  • Complete GL account reconciliations monthly
  • Assists with mid-month and month-end close for billing
  • Train processors
  • Level 1 troubleshoot for customer/billing issues
  • Analyze processes to identify opportunities and collaborate to provide potential improvements
  • Process credit applications for new customers including obtaining credit refs
  • Check deposits as needed
  • Logs checks daily
  • Close credit card statement
  • Credit card administration
  • Audit credit card transactions
  • Assist logistics team with san load entry as needed; on board to help identify opportunities for continuous improvement
  • Assist with company main line voicemail and mail distribution
  • Perform other related duties as required
Education and Experience
  • Minimum 2 years of experience in the field or related area required
  • Experience with SAP system preferred
  • Experience with invoice presentment systems such as Oil Dex, ADP and Cortex a plus, but not required
  • Proficient with Microsoft Excel
  • Approved UAT tester for enhancements and future improvements/projects
  • Strong interpersonal and communication skills (both verbal and written)
  • Detail oriented with a high level of accuracy
  • Sensitive to confidential information
  • Must work independently and as a member of team
Knowledge, Skills, and Abilities
  • Able to read, speak and write English.
  • Ability to use sophisticated computer software programs to achieve job functions.
  • Strong physical and mental health to maintain demanding workload.
  • Able to work under stressful conditions at times.
  • Communication - phone communication, communication with personnel and vendors.
  • Seeing - able to see the computer screen.
  • Climbing – able to go up, down and over equipment in a safe manner using good judgment and proper safety equipment as required.
  • Position will require a minimum of 40 hours per week with frequent extended hours required based on workload requirements.
  • Position will require (24) twenty-four hours availability, with (7) seven-day weeks when workload requires, with time off scheduled per current workload.
