Provide clerical, organizational, and administrative support to the Special Education Department to ensure efficient operation and compliance with federal, state, and district requirements. Assist in maintaining accurate records, coordinating meetings, managing timelines, and supporting communication among staff, parents, and campuses.
Qualifications Education/Certification- High school diploma or GED required
- Associate degree or higher preferred
- Educational Aide certification (if required by district)
- Knowledge of general office procedures and practices
- Working knowledge of special education terminology preferred
- Knowledge of FERPA and confidentiality requirements
- Strong organizational and time management skills
- Ability to maintain accurate and detailed records
- Proficiency in Microsoft Office applications and district data management systems
- Strong written and verbal communication skills
- Ability to work independently and meet deadlines
- Minimum three years of clerical or administrative support experience preferred
- Experience in a public school setting preferred
- Experience with special education documentation systems preferred
- Provide clerical support to the Director of Special Education and department staff.
- Prepare correspondence, reports, memoranda, and other documents as requested.
- Maintain department calendars and schedule meetings.
- Assist with travel arrangements, purchase orders, and budget tracking.
- Answer and direct telephone calls; greet visitors and respond to inquiries.
- Maintain accurate student records in compliance with state and federal regulations.
- Assist in tracking timelines for evaluations, ARD meetings, re-evaluations, and required documentation.
- Prepare and distribute ARD notices, prior written notices, and procedural safeguards.
- Upload and maintain documentation in the district’s special education data system.
- Support preparation of documents for state reporting, audits, and monitoring.
- Coordinate ARD meeting schedules with campuses, parents, and service providers.
- Communicate with campus staff regarding required documentation and timelines.
- Assist with maintaining substitute coverage information for special education staff.
- Serve as a liaison between campuses and the Special Education Department as assigned.
- Maintain confidential student files in accordance with FERPA and district policy.
- Organize and archive records per records retention schedules.
- Assist with records requests and transfer of special education files.
- Maintain confidentiality of all student and personnel information.
- Participate in professional development as required.
- Comply with district policies and administrative procedures.
