LTSA Support (85%)
Provide administrative and sales coordination support to the Service Department.
Plan and coordinate client visits, internal meetings, and schedules.
Arrange business travel, including flights, accommodation, visas, and entry permits.
Coordinate local arrangements for technical advisors, including work pass applications, Jurong Island passes, accommodation, transportation, safety training, and site access permits.
Process and monitor MOM e-Notifications, work pass applications, approvals, and related documentation.
Track and follow up on action items, service trackers, and operational projects with internal teams and customers.
Support site administrative arrangements for outage teams, including transportation, meals, PPE, equipment, and related logistics.
Maintain accurate document control and records for customer, sales, and operational data to ensure compliance and accessibility.
Prepare quotations, sales orders, purchase requisitions, payment requests, claims, and invoices via the Intramart system.
Monitor customer receipts and supplier payments.
Coordinate inland transportation, domestic deliveries, and customs clearance for equipment.
Prepare and manage shipping documentation (e.g. bills of lading, shipping marks) and liaise with logistics partners, customers, and vendors.
Support service sales administration projects and other ad-hoc initiatives.
Assist in preparing periodic reports within required timelines.
Communicate with customers to ensure timely and accurate information sharing.
Coordinate customer communications and task follow-ups across stakeholders.
Maintain and update customer information and records accurately.
Support initiatives that enhance service delivery, operational efficiency, and customer satisfaction.
Monitor purchasing requirements and after-sales customer needs, and share updates with the team.
Perform other duties as assigned by the Service Department.
Experience in sales support, office administration, coordination, or customer service roles.
Relevant working experience in a similar function.
Diploma or Degree in Business Administration, Logistics, Supply Chain, or a related discipline.
Additional certification in sales, marketing, or related areas is an advantage.
Experience communicating and coordinating with customers and stakeholders.
Strong organisational skills with attention to detail and accuracy.
Customer-focused with the ability to build effective working relationships.
Familiarity with sales processes and performance tracking is beneficial.
Able to work independently and manage multiple tasks in a structured manner.
