Primary Purpose

Ensure efficient operation of high school administrative office and provide clerical services for school's administrative staff.

Qualifications Education/Certification

High school diploma or GED

Special Knowledge/Skills
  • Knowledge of general office procedures
  • Knowledge of basic accounting principles
  • Proficient keyboarding and file maintenance skills
  • Ability to use software to develop spreadsheets and databases, and do word processing
  • Ability to follow verbal and written instructions
  • Ability to perform a variety of tasks often changing assignment on short notice with some direction
  • Ability to prioritize workflow to address the multiple needs of the supervisor or the department
  • Ability to multi-task numerous complex administrative activities
  • Effective organizational, communication, and interpersonal skills
Experience

Two (2) years secretarial experience

Major Responsibilities and Duties
  • Prepare written correspondence, forms, schedules, or reports using personal computer.
  • Prepare instructional materials, meeting agendas, class lists, and campus communication as requested.
  • Maintain a daily teacher attendance log and records for substitute teachers.
  • Monitor and process personnel time records including leave requests and reports for Principal approval.
  • Maintain school calendar of events via website and campus bulletin boards.
  • Schedule meetings and appointments and maintain calendar for principal.
  • Assist students, teachers, and parents as needed.
  • Receive incoming calls, take reliable messages, and route to appropriate staff.
  • Greet and direct campus visitors according to district policy.
  • Maintain physical and computerized files including mailing lists, student records, visitor logs, and office communication.
  • Update handbooks, policy manuals, and other documents as assigned.
  • Acts as backup for other office personnel.
  • Perform routine bookkeeping tasks and maintain campus budget records.
  • Prepare and process purchase orders.
  • Receive, store, and issue supplies and equipment.
  • Prepare and make cash deposits for activity account(s). May be responsible for maintenance of activity records.
  • Assist with coordination of faculty meetings and campus activities including fundraising.
  • Maintain inventory of fixed assets, equipment, and supplies.
  • Sort, distribute, or deliver mail and other documents.
  • Administer medication to students, check temperatures, and notify parents of student illness in nurse's absence.
  • Maintain office machinery (copiers, poster machine, laminator) and order supplies.
  • Maintain confidentiality of information.
  • Maintain positive community relations by establishing proper rapport with students and parents.
  • Attend and participate in faculty meetings, staff development and serve on staff committees as required.
