Primary Responsibilities

Summary The College of Education seeks a highly organized, intellectually curious, and proactive Administrative Assistant to support the Dean in advancing the mission, operations, and effectiveness of the College. The ideal candidate thrives in environments where structures and systems are still developing, demonstrates exceptional problem-solving skills, and is able to anticipate needs before they arise. This role requires strong judgment, adaptability, and the ability to support complex academic, operational, and strategic functions.

Professional presence is required during all normal university business hours.

Executive & Academic Support
  • Provide high-level administrative support to the Dean, including scheduling, communications, document preparation, and meeting coordination.
  • Research, draft, and format reports, presentations, and briefing materials.
  • Manage and track action items, deadlines, and follow-ups for the Dean’s office.
Operational Systems & Process Development
  • Help create, refine, and document administrative systems, workflows, and standard operating procedures across the College.
  • Identify gaps or inefficiencies in current processes and propose actionable solutions.
  • Support compliance with university, state, accrediting body, and College-level requirements.
Communication & Coordination
  • Serve as a professional representative of the Dean’s office in interactions with faculty, staff, students, and external stakeholders.
  • Coordinate information flow between departments, offices, and institutional partners.
  • Prepare clear, concise communications and maintain well-organized records.
Data & Reporting Support
  • Assist with gathering, organizing, and analyzing data related to accreditation, accountability, certification, assessment, and College operations.
  • Maintain spreadsheets, dashboards, or other tools that support informed decision-making.
Event & Project Management
  • Support planning and execution of College-wide events, meetings, and initiatives.
  • Help manage multi-step projects, ensuring timelines and deliverables are met.
  • Track project status and lead in communication and communication systems that support efforts related to updates to the Dean and stakeholders.
Decision-Making & Problem-Solving
  • Exercise sound, professional judgment in ambiguous situations.
  • Demonstrate intellectual curiosity by asking thoughtful questions, pursuing clarity, and seeking to understand the College’s systems and priorities.
  • Lead in ensuing follow through on and wrap/completion for tasks connected to the Dean ’s office and/or to other offices as assigned by the Dean.
  • Anticipate challenges and proactively propose solutions.

Supervision Received:
Reports to the Dean of the College of Education

Working Conditions Usual:
Eight-hour workday, forty hours per week, with some early or late hours depending on workload; and attendance at various university, community, and school activities.
