Summary of Position

The purpose of this position is to plan, organize and supervise while performing legal clerical work in support of the daily operations of the Justice of the Peace. This is accomplished by prioritizing, assigning tasks, preparing legal documents, developing work procedures, analyzing issues, and resolving problems.

    Justice of the Peace – Precinct #2 and Chief Court Clerk.
  • Directs:
    This is a non‑supervisory position.
  • Other:
    Works cooperatively as a liaison with various state and local government agencies, constables’ offices, attorneys, sheriff’s department, jail and the general public.
Essential Duties
  • Answer first‑line incoming calls and log all calls and in‑person office traffic; sort, open, and process incoming mail; respond to requests.
  • Scan all documents and exhibits for data entry, as well as all messages and notes in the defendant’s file when they call or come in person to inquire about their cases.
  • Communicate with the public on general questions regarding traffic tickets, civil procedures, online payments, and information for inmates in custody on our warrants to the public as requested.
  • Sort and open mail and enter all payments in the computer, including all jail credit and community service.
  • Prepare a variety of legal documents such as citations, judgments, notices for hearings, motions to dismiss, deferred adjudication, defensive driving, complaints for officer’s signatures, payment plans, and community service.
Additional Duties
  • Produce department’s scheduled reports: weekly money, monthly OMNI, OCA (Office of Court Administration), weekly citation conviction report, OMNI batch processing as well as monthly, semi‑annual, and annual reports for JP2 and law enforcement agencies.
  • Verify active insurance policy on each defendant requesting dismissal on no‑insurance citation.
  • Use the OMNI program to place hold on defendants’ driver’s licenses.
Required Knowledge, Skills, and Abilities
  • General accounting, clerical, and bookkeeping skills.
  • Establish and maintain effective relationships with co‑workers, vendors, and the general public.
  • Demonstrate proficiency in oral and written communication with accuracy and attention to detail.
  • Perform routine and repetitive duties while working in a sometimes intense and high‑volume environment.
  • Travel out of town to attend professional development courses.
  • Use office equipment including copy machines, multi‑line telephone, computer, scanner, hardware, and software.
  • Successfully complete a pre‑employment drug screen and background investigation.
  • Maintain complete and accurate records and file systems to enable researching and tracking justice court cases.
Acceptable Experience and Training
  • High school graduate or its equivalent, plus at least three years of experience working with the public in a clerical position, preferably with a governmental entity; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.
Certificates and Licenses Required
  • Current Texas driver’s license and ability to be bonded.
  • Possession of or ability to obtain TCIC/NCIC certificate within 30 days.
  • Notary Public or ability to obtain within 12 months.
Physical Demands and Work Environment Physical Demands
  • Required to sit, bend, kneel, walk, stand, reach, stoop, and move objects weighing up to 20 lbs.
  • The noise level in the work environment is usually low and typically performed in an office setting with frequent interruptions.
