Job Description

If you value teamwork and dependable, trustworthy work, this role supports the mission of HSCS – delivering specialized psychiatric, youth, and state‑supported living services to Texans. You will work under direct supervision to provide journey‑level administrative duties and technical program assistance for the unit.
CoreResponsibilities
- Establish, track, and maintain internal record‑keeping systems and secure filing structures.
- Serve as a key point of contact communicating professionally with the public, internal staff, government agencies, and private organizations.
- Organize and coordinate meetings, conferences, and seminars—scheduling, agenda prep, logistics, and materials.
- Arrange travel, process requests, and manage travel vouchers.
- Maintain structured filing systems and manage incoming/outgoing communications.
- Support disaster response, recovery, or COOP activation as needed.
- Attend work regularly; may work specific, rotating, extended shifts, or overtime per agency policy.
- Track and maintain accurate, secure records and manage confidential documents.
- Respond to inquiries on agency rules, regulations, policies, and procedures.
- Acquire necessary equipment, supplies, and furniture—monitor inventory and follow procurement policies.
- Facilitate travel arrangements and purchase of supplies, training materials, and conference registrations.
- Provide technical assistance and prepare reports/forms for director/area leadership; compile audits, compliance checks, and other reporting.
- Coordinate workflow among units, order office supplies, and keep office environment organized.
- Perform additional duties as assigned, including disaster response or COOP support.
- Office practices, administrative procedures, and Microsoft Office products.
- Business English, spelling, and grammar; proficient written, verbal, and proofreading skills.
- State travel policy, HIPAA laws, record‑keeping, and filing systems.
- Ability to implement, evaluate, and communicate administrative procedures; train others.
- Independent and team work; manage multiple projects within timelines.

Initial Screening CriteriaAt least two (2) years of professional support role experience.
Additional Information- Must pass background check, drug screen, and registry checks.

- Compliance with HHSC immunization policy and state hospital procedures regarding hepatitis B, measles, mumps, rubella, varicella, tetanus, diphtheria, pertussis, and influenza.
