Job Description

This Administrative Assistant III – Area Coordinator performs journey‑level administrative duties and technical program assistance to support operations of the unit. The role involves establishing, tracking, and maintaining internal record‑keeping systems, serving as a key point of contact with the public and internal staff, organizing and coordinating meetings, handling travel arrangements, managing structured filing systems, and providing technical assistance for audits, compliance, and reporting.

The position requires regular attendance, general supervision, and is not eligible for telework.

Responsibilities
  • Establish, track, and maintain internal record‑keeping systems; ensure all files are accurate, up‑to‑date, and securely stored.
  • Serve as a key point of contact by communicating professionally and effectively with the public, internal staff, government agencies, and private organizations.
  • Organize and coordinate meetings, conferences, and seminars by scheduling, preparing agendas, arranging logistics, and ensuring all necessary materials are available.
  • Handle travel arrangements, requests, and vouchers for reimbursement.
  • Maintain structured and efficient filing systems to support easy retrieval and secure storage of documents.
  • Provide technical assistance and administrative support for audits, compliance checks, and other reporting needs.
  • Coordinate workflow between different organizational units, order office supplies and equipment, and ensure the office environment remains organized and functional.
  • Perform other duties as assigned, including participation in disaster response and continuity of operations activation.
Qualifications
  • At least two (2) years’ experience in a professional support role.
  • Knowledge of office practices and administrative procedures; knowledge of state travel policy and procedure; knowledge of record keeping and filing systems; knowledge of HIPAA laws.
  • Skilled in written, verbal, and time‑keeping communications; skilled in Microsoft Office products.
  • Ability to work independently and as a team member; ability to manage multiple projects while meeting timelines.
  • Ability to prepare correspondence, forms, and requisitions; ability to implement administrative procedures and evaluate their effectiveness.
  • Maintain confidential information and secure documents; interpret complex rules, regulations, policies, and procedures.
Essential Job Functions

Attends work regularly and may be asked to work a specific shift schedule or rotating schedule, extended shift, and/or overtime in accordance with agency leave policy and performs other duties as assigned.

Applicants must pass a fingerprint criminal background check, pre‑employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide, and Employee Misconduct. Males between the ages of 18‑25 must be registered with the Selective Service. All applicants must be at least 18 years of age to be considered for employment at a state‑operated facility. Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required.
