Your Role

Reporting to the Human Resources Workstream Leader, the HR Admin and CSO Coordinator provides the administrative, technical, and operational support necessary for the effective functioning of HR activities. They ensure the accurate management of employee files, benefits, and data within the HR system, while working closely with internal teams to maintain accuracy and compliance of all information.

Key Accountabilities Administrative Management of Human Resources
  • Carry out necessary steps in the HRIS “UKG” for any changes related to employee records, ensuring data accuracy and integrity.
  • Manage time‑off and leave banks: update and process rollovers (vacation, personal, sick, and statutory holidays) in the HRIS, ensuring data accuracy and compliance with company policies and collective agreements.
  • Handle the administrative follow‑up for terminations and end‑of‑probation cases (resignation documents, return of company property, payroll coordination, removal from group insurance and pension plans).
  • Draft and file various HR documents (letters regarding position or salary changes, employment confirmations, reimbursement agreements, or other administrative documents).
  • Ensure all required forms and authorizations are received and properly filed in employee records.
  • Oversee accurate management and tracking of union remittances, ensuring compliance with collective agreements and established deadlines.
  • Manage contributions and changes to pension plans during employment.
  • Apply premium exemptions, adjustments, and prepare reimbursement agreements related to disability or CNESST cases, in accordance with guidelines provided by the benefits team.
  • Contribute to the annual re‑enrollment process, follow up on claim reference periods, and respond to employee administrative inquiries.
  • Manage invoicing for the entire HR division and act as the point of contact for the Finance department when required.
  • Provide recommendations to management regarding HR processes (data compilation, dashboard creation, identification of key findings and improvement opportunities, etc.).
  • Review and map HR processes, proposing continuous improvement initiatives.
  • Contribute to any other tasks that support the HR team and management.
Compliance and Security
  • Manage data, produce regular reports, and track compliance indicators.
  • Coordinate communications with regulatory third parties to ensure legal compliance and the accurate transmission of required information.
Profile Sought Knowledge and Experience
  • College diploma or bachelor’s degree in human resources, administration, or a related field.
  • Minimum of five years’ experience in a similar human resources and benefits role.
  • Knowledge of employee benefits programs.
  • Familiarity with the UKG system (an asset).
  • Experience working in a unionized environment (a strong asset).
