Job Description:
We are seeking a professional, detail-oriented and highly organized Receptionist/Legal Assistant to join our dynamic law firm. The ideal candidate will be comfortable managing front-desk responsibilities while assisting an attorney specializing in estate planning, real estate, and business formation. This position requires excellent communication skills, an understanding of legal terminology and procedures, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
- Greet clients and visitors in a professional and welcoming manner.
- Answer and route incoming calls; take detailed messages as needed.
- Manage office correspondence, including mail, email and deliveries.
- Maintain a neat and organized reception area and conference rooms
- Assist the attorney with drafting, reviewing, and filing legal documents related to estate planning, real estate transactions, and business formation.
- Gather relevant information to support document preparation.
- Manage client communications, including scheduling appointments, answering inquiries, and maintaining regular contact.
- Maintain and organize physical and electronic case files, ensuring all documents are properly filed and accessible.
- Coordinate with clients, real estate agents, financial advisors, and other professionals to facilitate smooth transactions and processes.
- Prepare and file documents with the appropriate courts and government agencies.
- Monitor and manage deadlines, ensuring all filings and responses are completed in a timely manner.
- Assist with billing and administrative tasks, including preparing invoices and tracking expenses.
- Perform other related duties as assigned to support the attorney and the firm’s operations.
Qualifications:
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- Previous experience as a receptionist, administrative assistant, or legal assistant is highly desirable.
- Proficient in Microsoft Office Suite (Word, Outlook, Excel)
- Excellent written and verbal communication skills.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Attention to detail and a high level of accuracy in work.
- Ability to work independently and as part of a team in a fast-paced environment.
- Discretion and the ability to maintain confidentiality of sensitive information.

Hours of operation: Monday - Friday, 8:30 am - 5:00 pm
