Description:

The Office Manager will be responsible for employee files, staffing, A/R, A/P, payroll, compliance, and the financial needs of the company while ensuring that the company is on track to meet its financial goals.

Responsibilities:
  • Receive and manage incoming customer calls, emails, and service requests
  • Schedule and dispatch plumbers to service calls based on urgency, location, and technician availability
  • Prioritize emergency calls (leaks, burst pipes, no water, etc.)
  • Coordinate daily routes to maximize efficiency and minimize travel time
  • Communicate job details clearly to technicians (customer info, issue description, parts needed)
  • Track technician locations, job status, and completion times
  • Update customers with appointment times, delays, or schedule changes
  • Enter and maintain accurate service records in dispatching or CRM software
  • Assist with invoicing, work orders, and job documentation as needed
  • Handle customer concerns professionally and elevate issues when necessary
  • Work closely with technicians, management, and office staff to ensure smooth operations
  • Ensure compliance with company policies and safety procedures
  • Support after-hours or on-call scheduling when required
Qualifications:
  • High School diploma or equivalent.
  • Strong customer service skills.
  • Team player, energetic, positive attitude.
  • Good time management skills.
  • Problem solving skills, attention to detail.
  • Previous administrative office experience.
  • Excellent verbal and written communication.
  • Must be self motivated and have a sense of urgency.
