This role will be integral to our operations, ensuring smooth and efficient administrative processes. Responsibilities
  • Managing and maintaining all administrative tasks related to construction projects including data entry, invoicing, and purchase orders.
  • Understanding and executing AIA contracts, ensuring all details are accurate and compliant with industry standards.
  • Coordinating with project managers, suppliers, and contractors to facilitate smooth operations.
  • Creating, updating, and maintaining comprehensive project databases and records.
  • Handling supplier invoices, ensuring they are correctly processed and paid in a timely manner.
  • Preparing, reviewing, and issuing purchase orders in line with project requirements.
  • Assisting in the preparation of regular reports, summaries, and forecasts for senior management.
  • Ensuring all administrative procedures and systems are efficient, up to date, and in line with current regulations and business requirements.
  • Providing general administrative support including drafting correspondence, scheduling appointments, organizing meetings, and maintaining office supplies.
  • Handling sensitive information with utmost confidentiality and integrity.
Qualifications
  • A minimum of 5 years of experience in an administrative role in the construction industry.
  • Proficiency in data entry, invoicing, and purchase orders.
  • A solid understanding of AIA contracts.
  • Exceptional organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Strong communication skills, both written and verbal, with the ability to liaise with various stakeholders.
  • Proficiency in Microsoft Office Suite, particularly Excel, and experience with construction management software.
  • High attention to detail and a strong commitment to accuracy.
  • The ability to work independently, as well as part of a team.
  • A proactive approach to problem‑solving and the ability to handle unforeseen situations with professionalism.
  • A high school diploma or equivalent; a degree in Business Administration or a relevant field is a plus.
