SummaryUnder the general supervision of the Planning Manager, the Planning Technician performs advanced administrative and technical coordination to support the Planning Division’s development review and public hearing processes. As the primary public-facing representative, this role ensures statutory notice compliance, accurate case intake, and the seamless administration of boards and commissions to maintain reliable division workflows.
Essential Duties and Responsibilities- Develops, maintains, and actively manages the Planning Division master schedule
- Monitors statutory and internal deadlines and proactively alerts staff and management to potential conflicts or compliance risks
- Coordinates scheduling across multiple case types to support efficient public hearing workflows
- Provides regular status updates and tracking reports to division leadership
- Identifies workflow gaps and recommends process improvements to enhance operational efficiency
- Serves as the primary intake coordinator for planning, platting, and regulatory cases
- Reviews applications for completeness, accuracy, and readiness for processing
- Establishes and maintains case records within the City’s permitting/workflow system (MGO or successor)
- Tracks case progress, maintains data integrity, and provides procedural guidance to applicants
- Ensures data integrity across tracking systems, official records, and public-facing materials
- Administers the Mobile Home Park Land Lease License program, including renewals, compliance tracking, and record maintenance
- Processes final plats and coordinates routing and signature collection
- Coordinates required public hearing notices, including legal publications and mailed notifications, and maintains documentation demonstrating statutory compliance
- Administers Planning & Zoning Commission, Zoning Board of Adjustment, and Historic Preservation Board meetings, including agenda and packet preparation through Prime Gov, meeting logistics, and preparation of accurate minutes
- Tracks board actions and prepares the annual Zoning Board of Adjustment (ZBA) Report
- Schedules and facilitates pre-development meetings and maintains related tracking logs
- Serves as a primary public-facing representative of the Planning Division, providing high-quality customer service and explaining development processes, requirements, and timelines
- Exercises sound judgment in handling complex or sensitive customer interactions
- Conducts comparative surveys and benchmarking using peer city data and prepares summaries to support decision-making
- Maintains departmental databases and performance metrics and assists with special projects and continuous process improvements
- Follows City policies, procedures, and safety guidelines
- Performs other duties as assigned
- Combination of education and/or experience equivalent to an Associate’s Degree in Business Administration, or related area
- One (1) year of experience in Planning or associated field
- Bachelor’s degree in Planning field or related area
- One (1) year of experience in municipal government planning/permitting field
