Job Summary
The Admin Assistant supports individuals, large teams, or department directors by collecting, reviewing, and analyzing data, and preparing reports, charts, budgets, and other presentation materials. They respond to or route routine inquiries from external or internal sources using correspondence or other messaging, schedule and coordinate meetings, travel, and other group activities, and may be responsible for creating and distributing regular reports.

The Role
- Accurately and rapidly prepare a variety of routine communications, reports, forms and correspondence; coordinate production and dissemination of materials.
- Manage vendor invoices to ensure that client and vendor billing is accurate and handled timely.
- Greet visitors, guests and employees promptly and courteously; ascertain their needs and provide assistance or refer to appropriate parties.
- Plan and schedule calendars, resolve conflicts, and arrange travel in compliance with organization policies.
- Monitor supply levels, order accordingly, receive, store and distribute supplies; perform service and maintenance of minor equipment.
- Create and maintain confidential files in accordance with established policies.
- Manage QGenda and time‑off balance reports for 87+ radiologists.
- Process payroll for senior staff moonlighting and category M.
- Maintain files for moonlighting radiologists.
- Distribute weekly schedules for residents, nurses, tech conferences and call schedules.
- Knowledge of office procedures.
- Consistently provide excellent customer service with empathy, patience and confidence.
- Maintain confidentiality of sensitive information.
- Interpersonal skills to interact with a wide range of constituencies.
- Skilled in document management, sorting, filing and records retention.
- Clear communication both verbally and in writing.
- Ability to read, write and follow instructions and flow‑chart protocols.
- Maintain a calm and helpful attitude under stress.
- Work carefully with high attention to detail.
- Advanced computer skills: typing, information security, electronic medical documentation, handheld scanning and email.
- Proficient with MS Office suite (Word, Excel, PowerPoint).

- Education:
H.S. Diploma/GED Equivalent. - Experience:
