Your Purpose in this Role

The Commercial Job Scheduler is responsible for planning, coordinating, and maintaining workforce and project schedules to support the successful execution of commercial construction and service projects. This role collaborates closely with project managers, general contractors, and service leadership to ensure labor, equipment and materials are aligned with project timelines and contractual commitments. The ideal candidate is highly organized, proactive, and experienced in construction scheduling within HVAC, plumbing, or service trades.

Key Responsibilities

Scheduling & Resource Coordination

  • Develop, maintain, and optimize daily and long-term schedules for commercial construction and service projects.
  • Coordinate assignment of field personnel, subcontractors, equipment, and material deliveries to align with project priorities.
  • Balance labor resources across multiple projects while considering skill sets, certifications, and project requirements.
  • Monitor schedule changes and proactively adjust staffing to prevent delays or conflicts.

Project & Field Support

  • Work directly with project managers and field leadership to understand project scopes, milestones, and manpower needs.
  • Communicate schedule updates to field teams, superintendents, and project Managers.
  • Track job progress and update schedules based on production, weather, material availability, or site conditions.
  • Assist with mobilization planning, site access coordination, and equipment logistics.

Systems & Documentation

  • Maintain accurate scheduling data within company software platforms (e.g., Service Trade, Outlook, or ERP systems).
  • Track manpower utilization, overtime, and workforce availability.
  • Document schedule changes, callouts, and project impacts for reporting and cost tracking.
  • Generate scheduling reports for leadership to support forecasting and workload planning.

Communication & Customer Coordination

  • Serve as a primary point of contact for internal teams regarding scheduling inquiries and adjustments.
  • Professionally manage urgent scheduling requests and emergency service dispatch when required.

Risk Management & Problem Solving

  • Identify potential scheduling conflicts, manpower shortages, or material delays and escalate to leadership.
  • Support contingency planning to minimize project disruption.
  • Ensure compliance with safety training requirements, and certification tracking when assigning personnel.
Qualifications
  • 3–5+ years of scheduling, dispatch, or coordination experience in commercial construction, HVAC, plumbing, or Service contracting.
  • Strong understanding of construction workflows, trade sequencing, and manpower planning.
  • Proficiency with scheduling or project management software and Microsoft Office Suite.
  • Exceptional organizational and multitasking abilities in a fast-paced environment.
  • Strong communication skills with the ability to coordinate across office, field, and client teams.
