Position: Procurement Specialist I

The Procurement Specialist performs purchasing and administrative duties necessary to purchase supplies, equipment and services required by the Company. In coordination with, and in support of, the Procurement Manager, the Procurement Specialist is responsible for administrative support and quality assurance of the purchasing card, mobile device and travel programs.

ESSENTIAL DUTIES AND RESPONSIBILITIES (and other duties as assigned)

  • Review requisitions, obtain competitive quotes, create purchase orders and coordinate delivery for supplies, equipment and services in a timely and accurate manner.
  • Source suppliers for information concerning products, price, reliability/quality and delivery date. Negotiate price and terms with suppliers for common purchases items.
  • Authorize purchases within budgetary limitations; obtain approval for purchases beyond personal authorization limits.
  • Maintain records pertaining to the history of each requisition including costs, delivery, product performance, and inventories.
  • Coordinate appropriate methods needed to distribute/deliver goods and services in a cost effective manner.
  • Proactively communicate with internal and external clients regarding order status.
  • Execute data retrieval from systems of record to provide cost and performance analysis, including supplier provided data.
  • Maintain ownership and management of the requisition and vendor management electronic systems and process.
  • Maintain purchasing files and manage the templates and forms needed to support the purchasing function.
  • Primary administrator of Company purchasing card, mobile device and travel programs.
  • Assist Procurement Manager in developing relationships with key suppliers and customers as well as managing vendor relationships and assist in building effective partnerships.
  • Act as primary backup for Procurement Manager, in their absence.

EDUCATION and/or EXPERIENCE

  • Minimum three years related procurement experience
  • Minimum 2 years’ experience managing purchasing card programs
  • Previous experience in procuring IT materials
  • Ability to demonstrate a high level of initiative and resourcefulness
  • Proficiency in word processing, spreadsheet, and accounting programs
  • Strong organization skills and the ability to ensure timely completion of assigned tasks.
  • Strong analytical skills to perform on going data retrieval and analysis
  • Strong customer service skills to interact effectively with suppliers and customers in person or on the telephone
  • CPSM, CSM or CPM designation through the Institute for Supply Management preferred
  • Bachelor degree preferred with emphasis in business.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.…
