Billing Specialist

Total Energy Solutions Inc. is a wholesale fuel distribution company headquartered in Tempe, AZ, serving customers across Arizona, Nevada, Utah, Oklahoma, Texas, New Mexico, and California. We’re looking for a Billing Specialist to join our operations team and help keep our financial engine running smoothly.

As our Billing Specialist, you’ll report to and directly assist our Operations Manager in managing the daily billing cycle for our wholesale fuel distribution operations. You’ll handle margin reporting, supplier and customer invoicing, payment tracking, freight billing, and contract administration. This is a hands‑on role where your attention to detail directly impacts our bottom line.

• Manage and update daily margin reports, ensuring accuracy across all transactions
• Process supplier drafts and invoices from DTN, portals, and email on a daily basis
• Handle customer invoicing, draft distribution, and contract updates
• Review, approve, and upload freight invoices to
• Track and reconcile check/EFT payments; follow up on past‑due accounts
• Perform daily banking reconciliation and generate aging reports for management
• Coordinate with suppliers on missing invoices, credits, rebills, and freight corrections
• Maintain freight rates and fuel surcharge (FSC) schedules
• Ensure all billing paperwork is complete, accurate, and delivered to customers on time

• 2+ years in billing, AP/AR, or a financial operations role
• Strong proficiency in Microsoft Excel and comfort with accounting/billing platforms
• Experience with  or equivalent payment processing tools
• Exceptional attention to detail with a track record of managing high-volume data
• Clear, professional communication skills – you’ll interface with customers, suppliers, and internal teams daily
• Ability to prioritize and manage multiple deadlines in a fast‑paced environment

• Background in fuel, energy, or petroleum distribution
• Familiarity with DTN and fuel industry portals
• Knowledge of freight billing and fuel surcharge structures
• Experience with ERP systems or Microsoft 365 Business tools
• Experience with Axxis Petroleum back-office software
