Job DescriptionUnder general supervision of the Business Operations Manager, the Business Operations Specialist, Sr., plans, organizes and coordinates the business operations functions in accordance with established goals, priorities, time limitations, funding limitations or other specifications. These functions include supervision, training, accounting, and other functions designated by the unit administrator.
Pay Range$58,000-$62,000
Essential Duties- Controls expenditures in accordance with budget allocations; recommends equipment and resources for function/program.
- Provide work direction and oversight over the activities of assigned staff or student workers.
- Supervision of Professional Staff Member.
- Assist with the hiring and training of assigned staff.
- Monitors or oversees the monitoring of a variety of account expenditures, maintains and reconciles detailed budgets for various accounts.
- Inform management of irregularities and proceed with corrective action.
- Manages the processing of travel reimbursements, purchase of supplies, services, and equipment with use of P Card and other purchasing documents in accordance with established procurement and financial policies.
- Represents the college/department and serves on various department and university committees. Interacts and maintains liaison with students, faculty, staff and outside/community agencies in facilitating program objectives.
- Review Enrollment Deposit inquiries that come in through calls, front desk, emails & Salesforce
- Determine student eligibility for deferred status
- Update student ED payment status (paid, unpaid, cancel, refund, etc.) in People Soft
- Review student payments for EDs
- Process Admin Defer students for SDA
- Add/Remove ED charges after researching eligibility
- Move ED payments to current Admin Term as needed
- Process ED refunds for Fall/Spring deadlines & case by case
- Process monthly Work Tag journals for EDs based off Quick Pay
- Create ED MOUs annually
- Process ED MOUs Journals/create invoice
- Communicate any trends within the ED
- Knowledge of principles, practices and methods of accounting, budgeting, and inventory management
- Knowledge of basic project management. Knowledge of supervisory practices and principles.
- Knowledge of procedures, methods and forms associated with automated accounting systems
- Knowledge of PC based software for spreadsheet, database, word processing and presentation applications.
- Skill in designing presentation materials.
- Skill in coordinating activities and establishing priorities for self and others.
- Skill in establishing and maintaining effective working relationships.
- Skill in effective communication, both verbal and written.
- Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse (75%)
- Frequently required to stand for varying lengths of time and walk moderate distances to perform work (25%).
- Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
- Ability to clearly communicate verbally, read, write, see and hear to perform essential functions. Calculator, telephone, computer (monitor, keyboard and mouse), printer, fax and copier.
