Job Description

Meade Engineering is seeking a highly organized, proactive, and resourceful Executive Assistant to provide high-level support primarily to our CGO, COO, and C-OS (dedicated support is already in place for the CEO). This position requires flexibility, discretion, and the ability to handle a dynamic workload. The ideal candidate has strong coordination skills, excellent judgment, and the ability to anticipate and address executive needs effectively.

We are looking for a hands-on, seasoned Executive Assistant. The ideal candidate has thrived in a fast-paced organization on a high-growth trajectory, supporting multiple executives, navigating shifting priorities, and operating with a high degree of independence.

Job Duties
  • Provide high-level administrative support to multiple members of the executive leadership team.
  • Own complex, ever-changing calendars and meeting logistics with minimal guidance.
  • Prepare executive team for meetings by coordinating agendas, meeting rooms, materials, and relevant context.
  • Support executive-level meetings, including note taking and follow-up on action items.
  • Develop and craft high-impact executive-level presentations, conduct in-depth research, and compile accurate and polished reports. Manage office and personal tasks, including expense reporting, travel coordination, document organization, special projects, and related administrative tasks.
  • Support cross-functional projects that require coordination across leaders and departments.
  • Collaborate with other administrative support to oversee office organization, including ensuring work spaces are well-prepared for executive use.
  • All other duties as assigned.
Minimum Qualifications
  • 5+ years supporting senior executives in a high-demand environment.
  • Proven ability to manage competing priorities without constant direction.
  • Exceptional organizational, multitasking, and problem-solving skills.
  • Strong written and verbal communication abilities.
  • High level of discretion, professionalism, and confidentiality.
  • Proficiency in Microsoft Office Suite - particularly PowerPoint.
  • Experience handling executive correspondence, preparing reports, and managing calendars.
  • Ability to anticipate needs, think strategically, and proactively solve problems.
  • Experience in an engineering, construction, or consulting firm is a plus.
Physical Demands

This is a primarily sedentary role with occasional standing, walking, bending, kneeling, stooping, and crouching, and lifting of office materials up to 20 pounds.
