Job DescriptionMeade Engineering is seeking a detail-oriented and adaptable Administrative Assistant to support our office administration and executive operations. This role is the backbone of the office and the first impression for employees, clients, and visitors.
This role bridges the gap between day‑to‑day office coordination and high‑level executive support, working closely with the Executive Assistants to ensure seamless internal operations and top‑tier administrative service. The ideal candidate brings a service‑minded approach, attention to detail, and the ability to manage both routine and high‑visibility tasks. This role is critical to maintaining an efficient, professional, and welcoming environment for employees, clients, and visitors alike.
You'll own the day‑to‑day office experience and provide overflow and back‑up support to the Executive Assistant's as needed.
- Serve as the primary point of contact for the office, including greeting visitors and supporting day‑to‑day needs.
- Keep the office organized, stocked, and running smoothly.
- Manage office supplies, snacks, beverages and vendor relationships.
- Ensure conference rooms, kitchens, and common areas are clean, organized and meeting ready.
- Support meeting logistics, including room setup, catering and materials if needed.
- Coordinate with building management and vendor on maintenance and facility needs.
- Track office related expenses, invoices and receipts.
- Provide spillover administrative support to Executive Assistants and serve as backup support during absences.
- Support onboarding logistics for new hires in partnership with HR.
- Help track action items and support special projects as needed.
- Assist in the planning and coordination of internal events, office lunches and team gatherings.
- 3+ years of experience in administrative support, office coordination, or similar roles.
- Strong organizational skills with the ability to manage multiple priorities in a fast‑paced environment.
- Excellent written and verbal communication skills, with a professional and friendly demeanor.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and video conferencing tools (e.g., Zoom, Teams).
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility to support occasional after‑hours tasks when required.
- Proactive and dependable, with a service‑oriented mindset and keen attention to detail.
- Experience supporting or working in a professional services environment (engineering, construction, consulting, etc.).
- Knowledge of expense reporting and light budgeting.
- Interest in growing into an Executive Assistant or senior‑level administrative role.
