Join the Division of Facilities Construction & Management and play a key role in supporting the backbone of our state’s infrastructure. We are looking for an organized professional to assist with vital financial and administrative processes that directly impacts the efficiency of our Division.
PrincipalDuties
- Acts as a resource to provide information or determine the most effective way of meeting the needs of management, staff, or customers.
- Verifies data entry by comparing the source document against input data, utilizing automated verification system, using dual entry or other verification technique.
- Reviews files, records, invoices etc., to determine action to be taken.
- Writes or drafts correspondence, reports, documents and/or other written materials.
- Prepares and/or processes documents; reviews documents for accuracy and completeness; reconciles discrepancies; makes needed adjustments; updates information and/or evaluates against policy; compares elements for consistency or logical relationships, etc.
- Prepares reports or other written materials from source documents, transcription, etc.
- Retrieves data found in databases to generate requested reports.
- Assists the public and others with program related document and/or information. Provides assistance with agency specific software and/or databases.
- Maintains and/or creates files or record keeping systems. Sorts, labels, files and retrieves documents, or other materials.
- Explains and applies agency policy and procedures, business practices, etc.
- Monitors assigned program(s); makes recommendations for improvement.
- At least 1 year of experience providing office and clerical support in a professional office setting.
- A proven ability to act as a primary resource for management and staff, determining the most effective methods to meet organizational and customer needs.
- Experience in auditing files, invoices, and records to determine appropriate action and ensure regulatory compliance.
- Be skilled in drafting professional correspondence, complex reports, and official documents from various source materials or transcriptions.
- Proficient in processing, reconciling, and updating documents for accuracy, consistency, and logical relationships in accordance with policy.
- The ability to navigate databases and extract specific data sets to generate requested analytical reports.
- Demonstrated success in providing program-related assistance to the public and training users on agency-specific software and databases.
- Experience in creating and maintaining sophisticated filing systems, ensuring organized sorting, labeling, and retrieval of materials.
- Strong capability to interpret, explain, and apply complex agency policies, business practices, and procedures.

- Physical Requirements:
- Risks found in the typical office setting, which is adequately lighted, heated and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc.
- Working Conditions:
- Typically, the employee may sit comfortably to perform the work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work.
