SUMMARY
Under general direction of the Manager of Nursing Resources, the Operations Supervisor is responsible for a variety of administrative and financial non‑nursing functions. Coordinates and monitors staffing and scheduling systems for the Nursing Service Division and select Patient Care Services Departments. Maintains management information systems relative to utilization of nursing and ancillary personnel. Uses electronic bed board to assist nursing leadership in facilitating patient flow throughout the hospital.

- Assist the department director/manager to plan for scheduled and unscheduled staff vacancies by reassigning personnel and supplementing staffing with float or per diem nurses as needed.
- Collaborate with nursing management to ensure that the department’s scope of services strives to meet the needs and expectations of internal and external customers.
- Forecast potential problems and intervene to offset adverse impact.
- Consult with admitting regarding placement of patients and function in the absence of case management when needed.
- Demonstrate flexibility and innovation to facilitate the changes required to improve operations or to enhance revenue, effectiveness, productivity, responsiveness, and other quality factors.
- Respond to changing workload during crises and emergency situations with effective decision‑making skills.
- Assess manpower needs, authorize reassignment and replacement of staff and overtime to meet needs and monitor staffing to ensure optimal use of scheduled time and overtime for maximum productivity.
- Assist with cost containment by encouraging use of benefit time during periods of low census and/or low workload.
- Ensure the security and confidential treatment of sensitive and private information.
- Utilize computer technology for data generation, retrieval, analysis, and documentation.
- Accept and receive feedback from colleagues and staff, creating a safe environment for disagreement.
- Demonstrate effective writing skills for correspondence, reports and other documents.
- Collaborate with other leaders and relevant personnel to resolve problems and make decisions.
- Maintain the nursing division and select patient care services staff contact directory and all clerical records required for the staffing systems.
- Document and track the availability of per diem staff per policy and contact float, off‑duty, or per diem staff for supplemental staff as needed and requested.
- Process and distribute end‑of‑pay period reports and collaborate with finance to develop and maintain systems for collecting information to measure unit(s) productivity.
- Maintain computer hardware and software, and inventory of supplies.
- Coordinate scheduling and provide requested reports through electronic scheduling systems, set up and maintain user accounts in electronic scheduling systems, and serve as a resource for electronic scheduling systems.
- Communicate staffing information promptly and accurately to the appropriate director/manager and nurse supervisor.
- Prepare timesheets for director/manager approval.
- Coordinate and track administrative aspects of onboarding new hires in the nursing and select patient care services division in support of nursing and patient care services leadership, order and manage supplies effectively, and control timely and appropriate flow of information throughout the department and the organization; keep people informed.
- High school diploma or equivalent. Strong analytical, organizational, interpersonal, and customer service skills required.
- Proficiency in word processing and spreadsheet software. Ability to function effectively in an environment subject to urgent and frequent service requests.
