Responsibilities- Manage and oversee all administrative tasks assigned by the Project Management team and Operation Managers.
- Create and maintain job files, project records and archives in Procore and other CRM systems.
- Optimize the project through all stages to completion including managing invoices, purchase orders, expense reports, etc.
- Manage multiple projects on an ongoing basis.
- Participate in project meetings and provide follow‑up to team on key actions and priorities.
- Coordinate and manage Turnkey project management team schedules, prepare meeting agendas, take meeting minutes and manage all project correspondence.
- Manage subcontractor invoice review and processing.
- Track and manage project expenses to ensure adherence to budget guidelines.
- Track and manage project completion progress and maintain accurate and accessible documentation with all relevant project stakeholders.
- Oversee tracking of sales teams and/or subcontractor procurement of materials and equipment required for the project.
- Develop and grow relationships with customers, contractors, project engineers and manufacturers.
- 5+ years of experience in HVAC, mechanical contracting, or construction industry experience is required.
- Bachelor's degree in engineering or related field is a plus.
- Ability to prioritize, multi‑task, deal with ambiguity and manage high volume projects.
- Experience working in project management tools such as Procore, MS Project, Bluebeam is preferred.
- Strong PC skills in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
Ability to learn new skills and knowledge. Ability to understand concepts and complexity comfortably. Open to change and will try anything to find solutions. Able to handle uncertainty and make decisions without knowing the whole story.
Operating SkillsAbility to discern between tasks to determine how best to accomplish goals and organize task/people assignments to get results in a timely way. Ability to figure out processes and simplify them to maximize workflow.
