The Payroll Coordinator is responsible for the day-to-day administration of payroll processes, including the weekly and bi-weekly payroll processing for both union and non-union employees located within the United States. This role ensures that payroll transactions are completed timely and accurately, in strict compliance with company policies and procedures. The Payroll Coordinator will handle highly confidential information, requiring a comprehensive understanding of company policies.

This position involves processing multi-state payroll for over 4,500 employees using the UKG payroll system. This position reports to the Payroll Manager.

Essential Job Functions
  • Process multi-state payroll for weekly and bi-weekly employees, ensuring accuracy and adherence to federal, state, and local regulations.
  • Handle the onboarding process for new hires, including payroll setup and verification of employee information.
  • Provide comprehensive support for payroll inquiries and issues, effectively collaborating with cross-functional business partners to address their needs and resolve any problems.
  • Maintain Standard Operating Procedures (SOPs) to ensure consistent and efficient payroll processes.
  • Anticipate the needs of business partners and build strong, collaborative relationships through proactive communication and knowledge sharing.
  • Assist with year-end payroll processing and audit requests as required.
Required Skills
  • Proficient in payroll processing systems, with experience in UKG preferred.
  • Previous experience with time and attendance files and systems.
  • Strong ability to multi-task and shift focus quickly to meet evolving business needs.
  • Capable of working under time constraints and meeting deadlines effectively.
  • Excellent attention to detail and accuracy in all tasks.
  • Strong organizational and time management skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Effective communication and interpersonal skills, with the ability to work collaboratively in a team environment.
  • Capable of resolving payroll-related issues promptly and effectively.
  • Responsive to business needs and inquiries, providing high-quality support.
  • Ability to adjust to changes in payroll processes and regulations.

Education and Experience
  • High school diploma or equivalent required.
  • 2+ years of experience in payroll processing, preferably in a multi-state environment.
  • Experience with payroll software such as ADP, UKG, or similar platforms.
  • Proficiency in using Microsoft Office 365 applications (e.g., SharePoint, Excel, Teams).
Working Conditions
  • Continuously sitting for prolonged periods in a temperature-controlled building.
  • Fast-paced work environment, requiring the ability to remain focused and maintain accuracy under pressure.
  • Attention to detail, requiring attention with one or two senses at a time.
  • May require occasional overtime during peak payroll periods, including working on holidays that fall within payroll processing or year-end activities.
Travel Requirements
  • Based on-site in the Tampa corporate office.
  • Minimal travel required; occasional travel may be necessary for training or meetings.
