Position Summary

The Executive Assistant to the Human Resources Leadership Team provides high-level administrative, operational, and strategic support to senior HR leaders across Manufacturing, Distribution, Transportation, and Corporate HR functions. This role is critical to enabling leadership effectiveness, organizational discipline, and execution excellence.

The ideal candidate is a trusted partner, highly organized, discreet, proactive, and ownership-oriented. They operate with integrity, respect for people and process, and a continuous improvement mindset—anticipating needs, removing friction, and helping the HR leadership team operate at the highest level.

Key Responsibilities
  • Provide direct support to senior HR leaders, including calendar management, meeting coordination, travel, and expense management.
  • Act as a gatekeeper and liaison, prioritizing communications and requests with sound judgment.
  • Prepare leaders for meetings with agendas, materials, data, and follow‑up actions.
Operational Excellence & Follow‑Through
  • Track commitments, action items, and deliverables across the HR leadership team to ensure execution and accountability.
  • Support rhythm‑of‑the‑business processes (staff meetings, operating reviews, leadership off‑sites).
  • Maintain organization of sensitive documents, presentations, and correspondence.
Coordination & Communication
  • Coordinate cross‑functional meetings involving HR, other business departments, and Executive Leadership.
  • Draft and edit professional communications, presentations, and reports on behalf of HR leadership.
  • Ensure clear, timely communication and follow‑up across stakeholders.
Discretion, Trust & Integrity
  • Handle confidential and sensitive information with the highest level of professionalism and discretion.
  • Serve as a trusted extension of HR leadership, representing the team with credibility and respect.
  • Identify opportunities to improve administrative processes, workflows, and tools.
  • Standardize best practices that increase efficiency and reduce friction for leaders and teams.

Qualifications
  • 10+ years of experience supporting senior leaders, preferably in HR, Legal, Operations, or a complex enterprise environment.
  • Experience supporting multiple executives or leadership teams strongly preferred.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools.
  • Experience handling confidential information with discretion and professionalism.
