The Regional Operations Support Specialist, under the direction of the Area Director, supports the practices in their assigned area by covering Operations employees out on leave and may be assigned practice‑based projects to support regional operations and MyCare initiatives.
Responsibilities- Support practices by filling in at assigned clinics within the region for Front Office Coordinators and Medical Assistants during employee absences. While covering for positions within MyCare clinics, responsibilities include but are not limited to:
- Welcome patients into the office, creating a warm and friendly experience. Assist with completion of medical records and history forms, filing accordingly.
- Remind patients of MyCare Initiatives, such as “Call Us First.”
- Maintain patient flow after check‑in; ensure patients are seen in a timely manner, preferably within a 15‑minute or less wait time.
- Clean and sterilize equipment, restock patient rooms and labs with appropriate supplies. Maintain medical supply inventory to ensure stock.
- Perform height, weight, vital sign and vision tests, recording them within the eHR system (eClinical
Works [eCW]); identify chief complaints and record observations. Perform triage as soon as chart is ready. - Make patients comfortable with an in‑office bedside manner (prioritizing privacy, patience and empathy); actively listen to concerns, and document accordingly.
- Manage inbound and outbound phone calls as required, including patient scheduling, appointment reminders, insurance verification and eligibility, assisting with patient requests and inquiries, and following‑up with patients post‑appointment, especially walk‑ins, urgent care, and Transitional Care Management (TCM) patients.
- Coordinate and collaborate with healthcare professionals, including physicians, pharmacists and specialists to ensure optimal patient care. Communicate abnormal test results to physicians, assist providers with treatments and examinations, and transcribe provider orders.
- Conduct tests and procedures as directed, such as EKGs, non‑stress tests, mini‑cog, spirometer, venipunctures, skin punctures, strep screen, glucometer and blood tests, and urine tests.
- Assistance with scheduling, reporting, and other projects to advance MyCare initiatives. This can include, but is not limited to:
- Assisting with daily/weekly/monthly report collection and distribution
- Assisting with communications to clinic leadership and staff
- Providing administrative support to the Area Director
- 2 years working in a medical office setting, preferably in a Primary Care setting
- At least 2 years of experience as a Medical Assistant in Primary Care
- Medical Assistant Certificate issued by an accredited institution or applicable experience
- Bilingual in English/Spanish preferred but not required
- Experience working with Microsoft Office, including Outlook, Word, Excel and PowerPoint. Excel experience is a must as this position handles regional reporting via spreadsheet data collection and distribution
- Basic medical terminology and basic arithmetic
- Safe vein puncture techniques and knowledge of safe work practices in a clinic setting
- Strong telephone and communication skills. Must be able to speak clearly and communicate effectively over the phone and in person
- Must be able to work independently and with a team, highly adaptable, and able to remain positive and professional in a fast‑paced, high‑demand environment
- Experience answering the phone and scheduling patients in a medical office setting
- Experience working with E‑Clinical Works is preferred
