The Gift Services Specialist I provides foundational support to the Foundation Gift Services team by accurately processing donations, maintaining donor data integrity, and generating standard acknowledgment letters. This role supports donor stewardship efforts by ensuring accurate gift documentation, compliance with established procedures, and timely donor communication. The Specialist I develops skills in database reconciliation, reporting, and compliance while contributing to high standards of accuracy, confidentiality, and service excellence.
SelectResponsibilities
- Process routine donations (checks, credit cards, and online gifts) in accordance with established standard operating procedures and compliance guidelines.
- Enter, update, and maintain donor and gift records with a strong focus on data accuracy and integrity.
- Generate standard gift receipts and acknowledgment letters in a timely manner, following IRS and nonprofit industry standards.
- Assist with basic batch processing, auditing, and record validation to support reconciliation and reporting accuracy.
- Run basic database queries and standard reports to support Gift Services and Foundation activities.
- Collaborate with Gift Services team members and internal partners to support daily operations.
- Assist with answering incoming Foundation phone calls and directing inquiries appropriately.
- Follow IRS, CASE, and internal policies to ensure compliance, confidentiality, and data stewardship.
- Bachelor’s degree plus one (1) year of database or data management experience
OR - Associate’s degree plus three (3) years of database or data management experience
- High attention to detail with a demonstrated commitment to data accuracy and integrity
- Ability to manage multiple priorities, meet deadlines, and work effectively in a team environment
- Strong written and verbal communication skills
- Proficiency in Microsoft Word, Excel, Outlook, and database management tools
- Demonstrated ability to handle confidential and sensitive information with discretion
- Willingness and ability to learn new technologies and systems
- Bachelor’s degree in Business Administration or a related field
- Experience working with donor databases or CRM systems
- Prior experience in fundraising, advancement, or nonprofit environments
- Advanced degree in business administration, nonprofit management, or a related discipline
