Job Summary

We are seeking a highly organized, client-focused Fulfillment & Scheduling Coordinator to join our dynamic team.

This position serves as a primary operational point of contact for clients and internal teams, ensuring smooth scheduling, accurate documentation, and timely follow-through across all accounts.

This role requires strong communication skills, attention to detail, and a high level of ownership. The ideal candidate is proactive, solutions-oriented, and comfortable working in a fast-paced environment where accuracy matters.

Key Responsibilities
  • Act as a liaison between clients and internal teams to support scheduling, compliance calls, and onboarding processes.
  • Schedule and reschedule client calls accurately, ensuring correct AM assignments, time zones, and confirmations.
  • Assist clients with screen sharing setup and basic technical troubleshooting prior to scheduled calls.
  • Follow up with clients to ensure all required documents and proposals are reviewed and signed in a timely manner.
  • Monitor compliance call scheduling to ensure all calls are booked within required time frames.
  • Maintain accurate and up-to-date CRM records, tagging contacts and logging call outcomes appropriately.
  • Prepare daily calendar overviews and confirm required documentation is in place before meetings.
  • Upload and organize client documents and ensure signed documents are properly stored.
  • Send appointment confirmations, reminders, and missed-call follow-ups.
  • Identify process gaps and proactively flag issues before they impact clients.
  • Support Director of Fulfillment & Campaign Managers with administrative tasks as needed.
Qualifications
  • Strong interpersonal and communication skills.
  • Excellent organizational and time management abilities.
  • High attention to detail and accuracy.
  • Proactive problem-solver with strong follow-up habits.
  • Customer service experience required.
  • Ability to remain calm and professional in high-pressure situations.
  • Comfortable using CRM systems, Slack, Google Workspace, and remote support tools.
  • Ability to manage multiple priorities while maintaining accuracy.
Pay Range

$15-20 per hour
