The Receptionist provides administrative oversight for the Corporate Office and supports both corporate and branch operations. This role manages front‑desk functions, coordinates meetings and vendor services, processes key accounts and invoices, and assists with new branch and fleet‑related administrative needs. The position plays a critical role in maintaining organized, efficient, and professional day‑to‑day operations.
Essential Functions- Greet visitors and function as a point of contact for customers and other external partners.
- Manage conference room calendars.
- Manage incoming calls, CSR/service inquiries, and daily mail distribution.
- Coordinate meetings, travel, accommodations, and catering arrangements.
- Organize quarterly meetings, executive events, and employee recognition initiatives.
- Maintain office, kitchen, and breakroom supplies; oversee general office upkeep.
- Update and distribute employee directories and contact lists.
- Process and code P‑card transactions and monthly invoices.
- Manage postage and mailing systems, including multi‑location accounts.
- Serve as primary contact for shipping accounts (Fed Ex, UPS) and process related invoices.
- Oversee office supply and uniform vendor accounts, including new branch setup.
- Establish utilities for new branch locations.
- Administer fuel card programs, driver PINs, and monthly fuel reporting.
- Maintain toll, Sun Pass, and violation processing accounts.
- Coordinate corporate ticket allocations and related renewals.

RequiredEducation and Experience
- High school diploma or equivalent.
- Proficiency in Microsoft Office Suite.
- Strong organizational, communication, and time management skills.

- Discretion in handling confidential information.
- Experience with standard office equipment and administrative support tasks.
Military service will be considered in lieu of education/certification experience as applicable.

- Primarily based in a corporate office environment.
- Climate‑controlled workspace equipped with standard office tools, including computers, phones, and business systems.
- Frequent interaction with customers, vendors, and internal staff both in person and through phone/email.
- Regular collaboration across departments.
- Periodic visits to construction sites or operational locations to support business needs.
- Occasional exposure to moderate noise, dust, or active work environments during site or construction visits.
- Exposure to seasonal weather conditions such as heat, cold, rain, or wind.
- Must be comfortable transitioning between office and industrial environments.
- Requires strong communication, multitasking, and coordination skills across departments.
