About the role:
The Office Manager / Administrative Coordinator is responsible for the day-to-day administrative and operational support of the office. This role ensures smooth office operations by managing mail, phone communications, payments, scheduling, and corporate logistics. The ideal candidate is organized, dependable, customer-focused, and comfortable handling sensitive information in a professional environment.
Key Responsibilities:Office Operations & Administration
- Maintain a consistent, regular presence in the office during business hours
- Retrieve, open, sort, and distribute incoming mail
- Scan, upload, and electronically route mail and documents as needed
- Perform general office duties including filing, ordering supplies, and maintaining shared spaces
- Serve as a point of contact for office-related questions and needs
Phone & Front-Line Support
- Answer and route incoming phone calls in a professional and courteous manner
- Take accurate messages and ensure timely follow-up
- Provide basic information to callers and escalate issues appropriately
Payments & Financial Transactions
- Process patient and other payments securely via telephone
- Accurately document and reconcile payments according to established procedures
- Maintain confidentiality and compliance when handling payment information
Meetings & Corporate Logistics
- Plan and coordinate corporate meetings, including scheduling, room setup, and materials
- Arrange hotel accommodations, transportation, and dining for business travel
- Coordinate group dinners, events, and offsite meetings as needed
- Track reservations and ensure logistics are communicated clearly to participants
- 5+ years of experience in an office management, administrative, or coordinator role
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Comfort handling phone-based payments and sensitive information
- Proficiency with basic office technology (scanners, phones, email, document management systems)
- Experience in a healthcare, medical, or professional services environment
- Familiarity with payment processing and basic bookkeeping practices
- Experience coordinating meetings or business travel
- Dependable and self-directed
- Customer-service oriented with a professional demeanor
- Ability to multitask and prioritize in a fast-paced environment
- Discretion and integrity when handling confidential information
