Executive Assistant/Office Manager to join our growing in-office team.
We are seeking a highly organized and proactive Executive Assistant / Office Manager to support the office of the Chairman and CEO in close partnership with the Chief of Staff, while also helping ensure the smooth day-to-day operations of our Tampa office.
This role is primarily focused on corporate executive support , with meaningful responsibility for office management and occasional personal support as it relates to the executive’s business schedule. The ideal candidate is detail-driven, calm under pressure, and thrives in a fast-paced, high-expectation environment.
Key Responsibilities- Provide high-level Executive Assistant support to the Chairman and CEO
- Manage complex, high-volume business calendars and scheduling across priorities
- Coordinate domestic and international business travel and prepare detailed itineraries
- Partner closely with the Chief of Staff to support executive workflow, priorities, and follow-through
- Prepare meeting logistics, agendas, and materials as needed
- Handle sensitive and confidential information with discretion and professionalism
- Oversee day-to-day operations of the Tampa office, ensuring a professional and well-run environment
- Coordinate vendors, facilities needs, office supplies, and basic services
- Support onboarding logistics and general administrative needs for the office
- Serve as a point of contact for office-related operational matters
- Provide occasional, business-adjacent personal support as it intersects with the executive’s schedule
- Coordinate selectively with the Estate Manager on scheduling or logistics when required
- 4–5+ years of experience in an Executive Assistant, Office Manager, or hybrid role
- Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word)
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- High EQ with ability to manage shifting priorities with professionalism and ease
- Proactive, dependable, and solutions-oriented
