Job Summary:

This role provides high-level administrative support to the Department Chair of Neuro Oncology, requiring exceptional competence, independent judgment, and professionalism. The Executive Assistant serves as a trusted partner, demonstrating discretion and maturity while anticipating needs and ensuring seamless operations. Responsibilities may include day-to-day oversight of other administrative staff.

You will manage complex tasks such as coordinating schedules, arranging travel, organizing meetings and conference calls, and producing accurate, high-quality minutes and reports. This position demands strong problem-solving abilities, excellent communication skills, and interpersonal effectiveness.

As a key liaison, you will handle confidential information with care, make independent decisions, and exercise authority when appropriate. Additional responsibilities include onboarding new employees, supporting management assistants, and ensuring all activities are executed efficiently and responsibly.

Position Highlights:

  • Provides administrative support to the Department Chair of Neuro Oncology and all program activities
  • Resolves and completes complex administrative tasks that may include travel itineraries.
  • Manages schedules and calendar, facilitates/coordinates meetings, travel and conference calls
  • Independently resolves problems/conflicts in a manner requiring knowledge of policies, procedures and operations; recommends solutions when appropriate; initiates actions and follow-up.

The Ideal Candidate will have:

  • Strong technical competence, interpersonal skills, attention to detail, and independent critical thinking.
  • Experience in clinical administration with the ability to manage sensitive and confidential information.
  • Education: High school diploma required; bachelor’s degree preferred.
  • Experience: Minimum 5 years in administrative roles. 2 years supporting executives in a healthcare, research, or academic environmentstrongly preferred.
  • Excellent customer service skills and experience working with patients and the public.
  • Outstanding oral and written communication skills; mastery of English grammar and proficiency with calendaring tools.
  • Intermediate skills in Microsoft Word, Excel, and Outlook in a Windows environment.
  • A proactive, highly motivated team player who works independently and demonstrates strong problem-solving abilities.
