Job SummaryThis role provides high-level administrative support to the Department Chair of Neuro Oncology, requiring exceptional competence, independent judgment, and professionalism. The Executive Assistant serves as a trusted partner, demonstrating discretion and maturity while anticipating needs and ensuring seamless operations. Responsibilities may include day-to-day oversight of other administrative staff.
Key Responsibilities- Manage complex tasks such as coordinating schedules, arranging travel, organizing meetings and conference calls, and producing accurate, high-quality minutes and reports.
- Handle confidential information with care, make independent decisions, and exercise authority when appropriate.
- Onboard new employees, support management assistants, and ensure all activities are executed efficiently and responsibly.
- Provide administrative support to the Department Chair and all program activities.
- Resolve and complete complex administrative tasks including travel itineraries.
- Manage calendars, facilitate and coordinate meetings, travel, and conference calls.
- Independently resolve problems/conflicts using knowledge of policies, procedures and operations; recommend solutions when appropriate and initiate follow-up.
- Strong technical competence, interpersonal skills, attention to detail, and independent critical thinking.
- Experience in clinical administration with the ability to manage sensitive and confidential information.
- Education:
High school diploma required; bachelor’s degree preferred. - Experience:
Minimum 5 years in administrative roles, 2 years supporting executives in a healthcare, research, or academic environment strongly preferred. - Excellent customer service skills and experience working with patients and the public.
- Outstanding oral and written communication skills; mastery of English grammar and proficiency with calendaring tools.
- Intermediate skills in Microsoft Word, Excel, and Outlook in a Windows environment.
- A proactive, highly motivated team player who works independently and demonstrates strong problem-solving abilities.
