JOB TITLE: Alternative Education Office Manager
JOB DESCRIPTION NARRATIVE:
Perform duties which are necessary to provide students, teachers, and parents with necessary materials and information for a well balanced atmosphere for learning. Maintain daily attendance records in the computer for Tahlequah Academy of Success, C.C.R.E.A., and Tahlequah Alternative High School. Prepare and submit state drop-out reports to THS Attendance Secretary. Answer telephone, greet parents and students who enter office, make absentee calls to parents, and issue blue slips.
Respond to transcript requests, maintain and update student records. Provide enrollment support to Principal. Assist and relieve administrative supervisor of paperwork and other related functions so that he/she may devote maximum attention to administrative tasks.
Knowledge: High School graduate or G.E.D. with secretarial or business experience preferred.
Skills: Must be able to type, file, operate business machines, be computer literate, and be able to keep accurate records and reports.
Machines/Equipment: Computer, printer, typewriter, copy machine, telephone.
Essential Job Functions- Greet public and students, answer telephone, set up appointments for parents/teachers/administrator.
- Serve as receptionist/secretary to the Principal. Type memos and all correspondence for the Principal and proofread accurately.
- Count, receipt, and deposit all monies for Activity Accounts.
- Assist Principal with Deregulations, OTAC reports, and State Department of Education reports, substitutes, etc.
- Receive and distribute all mail and supplies.
- Prepare requisitions.
- Order all textbooks and office supplies.
- Maintain school calendar on all events and fund raisers.
- Print report cards.
- Collect, record, and return all monies for student pictures.
- Provide enrollment support to Principal.
- File information in student records.
- Maintain office machines.
- Obtain needed forms/information regarding scholarships and colleges.
- Maintain student grades/transcripts.
- Print absentee reports upon request.
- Print labels and absentee letters daily.
- Maintain daily attendance and student information for Tahlequah Academy of Success, C.C.R.E.A., and Tahlequah Alternative High School.
- Run Quarterly, Trimester and Year-End Reports.
- Print Student Attendance Registers at the end of school year.
- Make changes to student handbook. Organize printing and student distribution.
- Prepare and mail State Drop-Out Report monthly.
- Issue blue slips to students as requested by parents or Principal.
- Student Withdrawals - fill out the withdrawal form and give instructions to students and parents on the withdrawal process.
- Call parents regarding unexplained or unreported student absences daily. Make a list of truant students for Principal.
- Issue Work Permits to students as requested.
- Maintain Special Education records eligible for destruction in compliance with the Policies & Procedures for the State of Oklahoma.
- Assist with gathering Special Education records, when a “request for records” has been received.
- Assist with secretarial duties with our Homebound Program for High School students.
- Other duties as assigned by Principal and Director of Special Services.
