We are looking for a Catering Sales Coordinator to add to our team at the Point Defiance Zoo & Aquarium in Tacoma, WA. This is a great opportunity if you have a catering events background and you have had experience planning and executing those events. You’ll be directly supporting the needs/goals of the catering team as well as the Catering Sales Manager and the Event Specialist.

• Working as a member of a cohesive operations team supporting the Director of Catering and sales team, as well as the General Manager to enable perfect event execution. This individual functions as a support to the Event Manager and Captains, as well as sometimes acting as a junior sales specialist when business levels are high. The Catering Manager maintains a positive, “win-win” attitude, always working to improve the execution and timeliness of their team.
• Ensuring all event information in Cater Xpert from the sales team is up to date and fully detailed prior to event/deadlines.
• Assisting in the setup and execution of events
• Ensure that event rentals have scheduled deliveries and pickups that are convenient for specialist or venue manage
• Maintain calendar of events through Outlook and attend all necessary event meetings and conference calls.
• Communicate with sales, culinary and booking staff, as needed, to ensure understanding of menus and client need
• Responsible for the collection and submission of all payments and deposits as it relates to contracted events. They are responsible for ensuring that these payments are on time and responsible for reviewing the weekly AR report and correcting any discrepancies and/or collecting any late payments.

Must-haves:

• 2 years of catering/food-beverage and/or administrative/event experience
• Basic PC knowledge and comprehension (Word & Excel)

Nice-to-haves:

• Safe Food Handlers Certification

$25 per hour + commissions
