We are looking for a Catering Sales Coordinator to add to our team at the Point Defiance Zoo & Aquarium in Tacoma, WA. This is a great opportunity if you have a catering events background and have experience planning and executing those events. You’ll be directly supporting the needs and goals of the catering team as well as the Catering Sales Manager and the Event Specialist.

• Working as a member of a cohesive operations team supporting the Director of Catering and sales team, as well as the General Manager to enable perfect event execution. This individual functions as a support to the Event Manager and Captains, and sometimes acts as a junior sales specialist when business levels are high. The Catering Coordinator maintains a positive, "win‑win" attitude and always works to improve the execution and timeliness of the team.
• Ensuring all event information in Cater Xpert from the sales team is up to date and fully detailed prior to event deadlines.
• Assisting in the setup and execution of events.
• Ensuring event rentals have scheduled deliveries and pickups that are convenient for specialists or venue managers.
• Maintaining the calendar of events through Outlook and attending all necessary event meetings and conference calls.

Communicating with sales, culinary, and booking staff to ensure understanding of menus and client needs.
• Collecting and submitting all payments and deposits related to contracted events. Reviewing the weekly AR report, correcting discrepancies, and collecting any late payments.

Must-haves:

• 2 years of catering/food‑beverage and/or administrative/event experience.
• Basic PC knowledge and comprehension (Word & Excel).

Nice-to-haves:

• Safe Food Handlers Certification.
