Job Purpose

To ensure the systematic recording, filing, and maintenance of all financial and administrative record keeping in compliance with company policies and legal requirements, thereby supporting business continuity and efficient information retrieval. Assisting with monthly closings and account analysis and supporting the AR Manager in carrying out the responsibilities of the accounting department.

Responsibilities
  • Financial record keeping - Maintain and update bank ledgers and record daily accounts receivable transactions.
  • Updating and clearing banking transactions.
  • Follow up daily for outstanding payments.
  • Record collections and reconcile van salesman account daily.
  • Collection and record cash in system and deposit in bank on daily basis.
  • Monitor inventory and do the stock count weekly / monthly as per requirement.
  • Count the expired stock, validate the dispatch and update the entries in system.
  • Support implementation of accounting systems.
  • Maintain the required number of document copies and retention periods in line with legal and company requirements.
  • Monitor and safeguard documents to prevent loss, damage, or unauthorized access, thereby supporting business continuity.
  • Update filing records and indexes regularly to ensure that documents can be retrieved promptly when needed.
  • Support Finance by providing requested documentation in a timely manner.
  • Recommend improvements and assist with implementing and maintaining internal financial controls and procedures.
  • Maintain confidentiality and security of sensitive information.
  • Assist with preparation and coordination of the audit process.
  • Support audits by providing necessary documentation.
  • Maintain organized financial files and documentation.
  • Support monthly, quarterly and annually financial closings.
  • Ensure compliance with company policies and accounting standards.
  • Perform other administrative and financials tasks as assigned.
Qualifications

Bachelor's degree or equivalent.

Experience

3-5 years of experience in branch finance or administrative control functions.

Skills
  • Good ERP and Microsoft Office knowledge preferred.
  • Strong communication and analytical skills and attention to details.
  • Ability to manage filing systems (physical and electronic).
  • Reliability, confidentiality, and a structured work approach.
