Job Description
This position is located in the School of Education’s Business Office. The position supports necessary purchasing and payroll transactions; reconciliations; invoicing and maintains confidential and general business records. Because the School’s financial position increasingly depends on managing financial aid, the position performs calculations for various financial aid awards. The position may be required to support auditing and analysis projects.
Education and Experience- Associate’s degree required.
- Bachelor’s degree preferred.
- Accounting and reconciliation experience.
- Strong attention to detail and ability to problem solve / triage low to mid-level issues and concerns.
- Ability to partner with multiple offices and staff on campus.
- Requires utmost discretion and confidentiality.
- Provides support to the Director of Budget and Administration with the daily financial activities within the School specifically by
1) monitoring revenue and expenses for departmental or unit accounts; ensures expenditure control and compliance with funding and reporting requirements, University policy, and standard accounting procedures;
2) reviewing expenditures to ensure conformance with budgetary provisions including sponsor and/or donor restrictions on certain funds;
3) reviewing and approving expenditure, personnel, and purchasing documents for availability of funding, mathematical correctness, and compliance with University policy and state and federal funding requirements, and;
4) processing, monitor and report on procurement activities (including procurement card activities) for School. - Responsible for coordination and analysis of graduate student support, including assistantships, international and domestic fellowships, graduate awards, scholarships, and internal financial aid.
- The position coordinates with the Manager, Advancement Office and Graduate Recruiter on all graduate awards and scholarships, processing all scholarship forms in conjunction with Graduate Awards office.
- Handles any inquiries and/or issues with graduate student financial aid.
- Monitors, adjusts, and reports on awards by semester and updates and maintains database tracking of all graduate financial aid within the school.
- Establishes and maintains tracking system for all Agency Agreements with outside entities; keeps library of related policies and procedures; keeps log of issues requiring higher-level intervention.
- Processes all requests for new agency agreements; proactively initiates agreement renewals; ensures the documents are correct and complete; maintains internal database.
- Interfaces with internal staff, campus offices and external organizations.
- Checks and enters remitted tuition data and executes related technical processes in order to properly credit partner agencies; generates appropriate reports.
- Responsible for tracking and billing of Study Council membership as well as maintaining budget for Study Council.
