Job Description

The Academic Operations Support Specialist provides essential support for curricular and instructional planning across the School of Education, with primary responsibility for course scheduling processes including data management, room requests, and enrollment monitoring for undergraduate, graduate, and special‑session programs. The Academic Operations Support Specialist collaborates with the Curriculum Specialist and academic leadership on curriculum and enrollment projects to enhance operational workflows and academic processes throughout the School of Education.

This position is part of a bargaining unit and is represented by the union SEIU, Local 200

United.

Education and Experience
  • Associate’s degree required; bachelor’s degree preferred.
  • 2+ years of experience supporting academic processes such as instructional scheduling and resourcing, or three (3) plus years in a related field that requires substantial planning and scheduling is required.
Skills and Knowledge
  • Knowledge of course scheduling policies and procedures for graduate and undergraduate programs.
  • Demonstrated organizational skills, ability to prioritize and handle multiple tasks simultaneously.
  • Demonstrated ability to communicate effectively with faculty, staff and students.
  • Adept at locating information, managing data and solving problems.
  • Working knowledge of University computer systems.
  • Demonstrated commitment to working with diverse populations.
Responsibilities Course Scheduling
  • Assists in the process of course scheduling for School of Education undergraduate, graduate, and special session programs including Fall, Spring, Summer, Winterlude, and Inclusive

    U by populating and maintaining course data in internal spreadsheets and MySlice, resourcing classes through title and credit adjustments, and incorporating approved curricular changes into the schedule.
  • Participates in scheduling meetings with Faculty Directors, completes daytime room requests to the Registrar’s Office, and prepares exception forms for courses that fall outside established paradigms or are added after university deadlines.
  • Additional responsibilities include reviewing the schedule for accuracy, adding instructors and TAs to MySlice, and monitoring enrollments to balance sections across programs.
Space Management
  • Created room‑usage grids to support the course scheduling process.
  • Monitors and manages requests and reservations for community spaces controlled by SOE.
Syllabus Management
  • Collects and reviews all syllabi each term to ensure all syllabi meet compliance requirements.
  • Archives syllabi in both Word and PDF formats for historical, accreditation, and assessment purposes.
Curriculum and Enrollment Projects
  • Supports curriculum, enrollment, and scheduling projects in collaboration with the Curriculum Specialist and other relevant staff and academic leadership.
  • Assists in improving scheduling practices, operational workflows, and academic processes to enhance overall efficiency.
  • Other duties as assigned.
