Position Summary and Job Responsibilities
Position Summary
Perform administrative duties to the squadron. This position may be full or part time.
Job Responsibilities
- Be the Point of Contact (POC) for Training, Standardization/Evaluation, and Scheduling shops.
- Provide administrative support including filing, tracking, preparing, and reviewing forms, letters, certificates, and folders (e.g., Form 8’s, Flight Evaluation Folders, manned flight training, flight authorization forms, FAA Certificates and Letters of Agreement, Letter of Xs, and Training Folders).
- Ensure all required flying files, materials and physical products are up to date, available to aircrews, and are properly signed off prior to flight (e.g., Flight Crew Information Files, briefing room materials, aeronautical charts, frequency cards, etc.).
- Ensure all required slides for the Daily Flight Brief are up to date, available to aircrews, and are properly signed off prior to flight. Examples include weather and Intelligence threats.
- Ensure squadron publications are up to date and implement processes to ensure aircrew technical manuals, checklists and Inflight Guides are up to date.
- Manage all electronic data and ensure it is properly filed and secured.
- Monitor aircrew progress to ensure all requirements are properly scheduled and accomplished (e.g., pre-requisites, RAP, scheduling, exams, and flight evaluations)
- Coordinate requirements (e.g., range control for test operations) with all affected functions to ensure maximum effectiveness of the daily and weekly schedule.
- Ensure aircrew indoctrination and out-processing are properly prepared.
- Perform other incidental and related duties as required and assigned.
Preferred Qualifications
Required and/or Preferred Qualifications (education, experience, licenses, skills)
MUST BE U.S. CITIZEN
Education:
- Vocational or other post-high school training.
Training and
Experience:
- Minimum of three (3) years Microsoft Product Application experience. Two (2) years of scheduling experience. Two (2) years of Patriot Excalibur (PEX) experience.
General
Skills:
- Must possess highly developed organizational, planning and management writing skills, oral communication skills, project management skills, ability to schedule workflow, prioritize, delegate, meet deadlines, and be multi-task oriented. Two (2) years of GTIMS experience desired.
Computer
Skills:
- Use Microsoft Office suite, Government-provided and commercial-off-the-shelf software to perform administrative duties within squadron operations.
Security Clearance:
- Current security clearance of “Secret” or above.
