Overview
We are seeking an organized and proactive Executive Administrative Assistant to join our dynamic financial services team. The ideal candidate will play a crucial role in providing high-level administrative support to our executive team, ensuring efficient and effective operations within the office. This position requires excellent communication skills, a keen eye for detail, and the ability to manage multiple tasks with precision.
Key Responsibilities- Administrative Support:
Provide comprehensive support to executives, including managing schedules, organizing meetings, and preparing documents and presentations. - Communication Management:
Act as the primary point of contact between the executives and internal/external stakeholders. Handle correspondence, draft emails, and maintain clear communication channels. - Client Meeting Coordination:
Schedule and coordinate meetings, conference calls, and appointments. Prepare agendas and take minutes during meetings as required. - Account Management:
Assist in maintaining and updating client accounts, ensuring data accuracy and timely processing of transactions. Serve as a point of contact for client inquiries, providing prompt and accurate information regarding their accounts. - Document Management:
Maintain and organize files, records, and documents. Ensure confidentiality and security of sensitive information. - Project Support:
Provide support on special projects and initiatives as needed, ensuring timely delivery and adherence to quality standards.
- Education:
Bachelor’s degree in Business Administration, Finance, or a related field is preferred. - Experience:
Minimum of 3 years of experience in an administrative support role, preferably within the financial services industry.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
