SummaryResponsible for all accounts receivable activities in the office, including preparation, review and maintenance of records.
The main focus of this position is to invoice customers.
Duties and Responsibilities- Perform daily billing functions and generate / send out invoices to customers
- Review and invoice daily shipments generated through database
- Manually invoice for specific services offered by the company
- Invoice specific customers using a weekly consolidated invoice
- Retrieve “proof of delivery” to send to customers who require documentation
- Submit invoices into customer portals for customers requiring this service
- Research discrepancies to accurately process and issue credits to customer accounts as necessary. Will require communication with customer service and the ability to perform basic math functions
- Research and respond to all accounts receivable inquiries in a prompt manner.
- Track customer monetary PO amounts and alert the customer when it is time to replenish funds
- Work with upper management to manually invoice special billing instances
- Assist collections specialist with invoicing questions
- Keep accurate and updated notes of customer invoicing exceptions
- Accurately file backup to manual invoices and credits generated
- Prepare and posts cash receipts, credit cards, and wires/ACH to customer accounts
- Set up new customers in the system according to company procedures
- Sends out credit applications and documents pertinent information to provide to CFO for terms approval
- Update and maintain accurate customer information in database according to company procedures
- Assist in month closing by assuring all appropriate information is entered and posted into computer
- Assist with month end rent and service charges

Education/ExperienceHigh school diploma or general education degree (GED); and one to two years related experience and/or training; or equivalent combination of education and experience.
Math AbilityAbility to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning AbilityAbility to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
Computer SkillsTo perform this job successfully, an individual should have knowledge of Microsoft Office;
Microsoft Outlook;
Microsoft Excel; accounting software;
Microsoft Internet Explorer; and MAS 500 software.
The noise level in the work environment is usually moderate.
