We are seeking a highly strategic, organized, and proactive Assistant to the Managing Partner to support executive leadership across logistics operations, workforce management, and U.S. market expansion. This role combines operational oversight, business growth support, cross-border coordination, and executive execution. The ideal candidate thrives in a fast-paced staffing environment and is capable of balancing field operations with strategic initiatives.
This is a high-visibility role with strong growth potential into senior operations leadership.
Core Responsibilities- Manage executive calendar, site visits, and high-priority meetings
- Prepare operational dashboards and financial summaries
- Track KPIs across multiple locations
- Ensure follow-up on action items across departments
- Assist in decision-making preparation with structured data and analysis
- Monitor daily manpower deployments across warehouse and client sites
- Track attendance, timesheets, payroll inputs, and billing alignment
- Support WCB, insurance, compliance, and safety documentation
- Assist in performance tracking of supervisors and field teams
- Identify margin risks (billing vs payroll gaps) and elevate proactively
- Support U.S. entity operations, compliance, and documentation
- Coordinate payroll, licensing, insurance, and regulatory requirements
- Assist with U.S. hiring and onboarding documentation
- Help update business plans and financial forecasts
- Coordinate with legal, HR, and accounting partners across jurisdictions
- Help build and refine SOPs across operations and administration
- Assist with CRM implementation and process automation
- Conduct market research for expansion opportunities
- Prepare partnership and investor-ready presentations
- Identify inefficiencies and propose system improvements
- Strong operational awareness in staffing/logistics environments
- High financial literacy (understanding margins, payroll impact, cost control)
- Process‑building mindset
- Excellent organizational and time management skills
- Discretion in handling confidential financial and HR information
- Ability to operate independently with minimal supervision
- Strong written and verbal communication
- 3–5+ years supporting senior leadership or operations teams
- Experience in logistics, staffing, workforce management, or similar industries preferred
- Familiarity with payroll systems, compliance documentation, and reporting
- Proficiency in Google Workspace / Microsoft Office
- Experience with CRM or project management tools is an asset
- Exposure to cross-border operations (Canada/U.S.) is a strong advantage
- Executive time is optimized for strategic growth
- Field operations run with minimal friction
- KPIs are tracked and reported consistently
- Margin leakage is identified early
- U.S. expansion milestones are executed without delays
- Systems become more structured and scalable
