The Opportunity:

DIVERSEcity Community Resources Society is currently seeking applications from qualified candidates for a Temporary Full-time position for the role of Program Assistant, Safe Haven Language Programs in Surrey, BC. Reporting to the Manager, Safe Haven, the Safe Haven Program Assistant is responsible for the maintenance of the language classes wait lists, student registration, client record keeping, Safe Haven customer services and a range of program support tasks.

The

key areas of responsibility are:
  • Performs client intake and registration, maintains knowledge of seat availability, and Safe Haven program eligibility requirements;
  • Check supply inventories, order and purchase language program materials with approval from the Manager;
  • Answers client inquiries and provides program information both in person, and over the phone;
  • Maintains waitlist, contacts students when seats are available, registering and placing students in class and maintains student records;
  • Performs duties related to the Safe Haven program, such as typing letters, monthly reports, class lists, waitlists, attendance, etc.;
  • Acts as a liaison to Wraparound Support Workers providing referrals for Safe Haven clients;
  • Liaises with assessor regarding client referrals and space availability;
  • Compiles and maintains program statistical information and reports;
  • Assist with setting up rooms and resources materials;
  • Assist with program promotion to community services, the media and DIVERSEcity’s programs;
  • Performs opening and closing office procedures.
Qualified candidates will possess:
  • Post-secondary training or certificate in Office Administration or social services field;
  • Minimum one year of relevant experience in administrative support, or a related field, or an equivalent combination of education, training, and experience;
  • Understanding of immigrant and settlement issues, particularly those affecting refugee claimants and vulnerable populations;
  • Excellent verbal and written communication skills in English;
  • Strong organizational and time management skills;
  • Ability to work collaboratively within a multicultural team setting;
  • Excellent computer and Internet skills (advanced knowledge of MS Office, Excel and other databases);
  • Typing speed of 50wpm;
  • Competency with office equipment, procedures and business communications;
  • Professional telephone manners and interpersonal skills;
  • High level of accuracy and attention to detail in all tasks;
  • Ability to handle multiple tasks and adapt to changing priorities in a fast-paced environment.
