Purpose Of The Role
Responsible for all HR Administration and data management on HR system Bamboo.
HR and Recruitment CoordinatorResponsible for all HR Administration and data management on HR system Bamboo. Support the development and implementation of HR and People strategies.
Key Responsibilities- Provide administrative support with HR projects and all HR management and development (including recruitment and selection, policies/procedures, disciplinary & grievances, salary & contracts, training & development, talent management & succession planning, driving performance reviews and any other HR related issues).
- Hours:
Monday to Friday 8.30 – 5.30, with 1 hour lunch. - Location:
Colnbrook and Sunbury.
To coordinate day‑to‑day recruitment. Post job ads, screen and shortlist candidates, produce interview agendas, attend and arrange interviews.
Coordinate collection of references, DBS checks and security clearance. Ensure all relevant documentation is received as necessary on or before 1st day of employment.
Onboarding / InductionSupport managers and new starters to ensure a positive and inclusive experience.
Own the onboarding administrative process for new starters; prep contracts, offer letters and supporting documents, onboard to HR systems, arrange company induction, arrange probation reviews.
LeaversEnsure leavers check‑lists are completed by managers and all HR allocated tasks are completed.
Produce resignation acceptance letters using templates.
Calculate any outstanding accrued holiday / outstanding payments for leavers.
HR AdministrationWrite and quality check communications with employees using the principles of think, feel & do. Continuously improve all company documents and processes and work with wider teams to facilitate improvements.
Produce employment letters for promotions, change in roles, disciplinary process, grievance, absence management using templates, and tailor each communication.
Produce employment contracts, offer letters and supporting documents using company templates.
Keep the HR system Bamboo up to date and organised. Provide administrative support for all employee benefits.
Produce accurate reports on key HR metrics such as headcount, gender diversity, new hires, leavers, turnover rate, retention rate, absences & update Org Charts.
Record detailed reports for all payroll adjustments for all employees. Coordinate training and HR initiatives. Administration of parental leave, Maternity, Paternity, shared parental leave & flexible work requests.
HR Information SystemMaintain the HR IS Bamboo, ensuring data integrity and that records are accurate, up‑to‑date and regular audits take place.
HolidayAdmin holiday booking systems Whos Off and Whos Office. Issue part‑time holiday allocation & calculate leavers holiday.
Absence MonitoringKeep accurate records of sick leave and update payroll for allocation of sick pay. Chase up Return to Work Interview records and save all records on Bamboo HR.
Employee RelationsProvide HR administrative support for employee relations and keep up to date with UK employment law. Produce supporting documents for employee relations.

- Excellent knowledge of the English language, both verbal and written.
- Intermediate/advanced knowledge of Microsoft Office; including Excel, PowerPoint, Outlook, Word, and Teams.

- Understanding of Health & Safety regulations.

- Minimum 2 years administrative experience ideally gained in a Human Resources role.
- Experience / exposure to recruitment.
- Experience of drafting and responding to routine HR queries and correspondence.
- Experience drafting employment contracts using company templates.
- Hold a full UK Driving licence; ability to work from Sunbury and Colnbrook.
- A strong interest in HR and enthusiasm to study CIPD qualifications.
- Experience of administration of a HRIS, Bamboo HR, Whos Off and Whos Office.
- CIPD level 3 qualification.
- Knowledge of local area.
- Experience in HR for the logistics / Freight industry.
